What are the responsibilities and job description for the Administrative Specialist position at First Weber Realtors?
Responsibilities:
- Oversees the daily administration of sales associate licenses. Ensures all paperwork is timely, accurate and in compliance with Department of Commerce regulations. Coordinates and oversees the sales associate annual license renewal process.
- Responds to phone calls and inquiries related to licensing. Maintains sales associate files, tracking spreadsheets and computer databases. Helps ensure a successful onboarding for new sales associates.
- Assists the Relocation Department with incoming/outgoing client referrals. Facilitates administrative tasks for corporate owned and foreclosure properties to include transfer of utilities, monthly invoicing, and agent follow up. Provides back up support to the Relocation Director during their absence.
- Assists the customer service department. Handles web leads in a timely manner, ensuring appropriate follow up and tracking of data. Responds to inquiries from customers, agents, managers and administrative staff.
- Greets visitors coming to the corporate office. Oversees supply orders, open house signs, business cards, and invoicing. Prepares office communications, handles social media posts, and generates various reports. Partners with marketing on documents included in recruiting packets. Manages credit card statements and receipts for the agent development department.
- Additional administrative duties as requested or assigned.
Qualifications:
Experience:
- Two to four years administrative and/or customer service experience strongly preferred.
- Knowledge of real estate, title or mortgage business strongly preferred.
Knowledge and Skills:
- Excellent customer service skills.
- Detail oriented; ability to multi-task and change quickly from one task to another.
- Strong knowledge of Microsoft Office applications, as well as the ability to learn new computer database platforms.
- Effective written and verbal communication skills and interpersonal skills.
- Ability to work well under time pressures and work effectively with a variety of personalities.
