First Witness Child Advocacy Center is seeking an Operations Specialist to join the operations team. This team handles the tasks needed to support First Witness’ mission and vision in our community and the programs that make achieving them possible; the Operations Specialist is involved in the administrative, fundraising, facility support, training, engagement, and financial aspects of the organization.

First Witness Child Advocacy Center (CAC) is a child-focused non-profit agency offering hope, healing, and justice for alleged victims of child abuse and their families. We provide forensically sound interviews for children, adolescents, and vulnerable adults who have reported sexual abuse, physical abuse, witnessed violence, or who may have been otherwise victimized. Our family advocates help parents understand the system and professionals involved and connect children and families with resources in their community. First Witness is a nationally recognized training center, and trains forensic interviewers, family advocates, and other professionals throughout the US as well as children, families, and youth serving professionals in the St. Louis, Lake, and Carlton County regions.
Job Description
General Description
The Operations Specialist will provide a variety of clerical, development, customer service, and community outreach support to ensure the efficient operation of the agency’s programs and mission. The position requires a detail-oriented individual who can work well both in a team and independently in a fast-paced environment. The Operations Specialist must always be able to present a professional image while working with a variety of people from diverse backgrounds. Interest and desire to become an impactful professional is required.
The wage for this position is $18 hourly, and is 40 hours/week. This position is a non-exempt position: staff are paid hourly and if asked to work over 40 hours will be paid overtime. Most work hours take place between 8:30am – 4:30pm Monday-Friday and occasional (1-2x monthly) evening and weekend hours for community events and volunteer meetings. Responsibilities
Operations
- Perform administrative duties as needed including: filing, copying, sorting, office supply ordering, and mailing.
- Provide bookkeeping support including sending, submitting & tracking invoices, tracking receipts, and working closely with the finance department.
- Prepare weekly deposit and create donor acknowledgements.
- Support Associate Director in administration of hiring and onboarding processes.
- Answer phones and assist with scheduling child interviews according to ChildFirst© forensic interviewing guidelines.
Community Engagement & Fundraising
- Assist Operations Coordinator in all aspects of First Witness national training program including registration and invoicing, preparation of training materials, online hosting, and logistics including food.
- Maintain CRM database with up-to-date donor & donation information.
- Provide administrative support for development, printing, and delivery of annual fundraising campaigns.
- Provide administrative support for development and delivery of annual engagement campaigns.
- As a member of the Operations Team, be involved in all planning and implementation aspects of the annual fundraising gala, Spring Splash.
General responsibilities

- Must be able to remain in a stationary position 75% of the work day
- Must be able to move about inside the office to access conference rooms, printers, file cabinets, etc.
- Operate a computer and other office machinery; copy machine, calculator, USB camera, etc
- Occasionally move boxes weighing up to 20 lbs.
