Key Responsibilities:
Bookkeeping Duties:
- Manage financial transactions using Juris accounting software, including accounts payable, accounts receivable, and general ledger entries.
- Assist with the preparation of monthly financial reports and reconciliations.
- Assist with client billing and matter management to ensure accuracy and timeliness.
- Ensure compliance with trust account regulations and reporting standards.
- Assist Accounts Payable functions, including onboarding new vendors, processing firm bills, and reviewing client invoices, as well as handling 1099 reporting.
- Work with Equitrac software to record rejected entries and allocate to the NB100 account.
- Assist retiring attorneys with closing files and organizing recordings, scans, and destruction of files.
- Serve as the primary receptionist, handling phone coverage, mail, scheduling conference rooms, and providing customer service as needed.
- Manage emails, letters, packages, and phone correspondence.
- Track and replace office, kitchen, and cleaning supplies to avoid shortages.
- Maintain the postage meter, including supplies and refilling postage as needed.
- Deliver outgoing mail to the post office daily.
- Coordinate with cleaning staff to ensure office cleanliness.
- Organize firm-related events, meetings, and travel plans for the FMAA conference for attorneys.
- Manage office equipment, including coordinating with phone system vendors to maintain functionality and handle replacements as necessary.
- Maintain and update the firm’s library, including purchasing new books, renewing publications, and updating inserts in current materials.
- Work with neighboring businesses on shared expenses like dumpster billing and parking lot issues.
- Coordinate office readiness for new attorneys and organize the movement of outgoing attorneys.
- Provide support to other departments during staffing shortages, including assistance with wires, billing, dictation processing, and other duties as needed.
- Proven experience as a bookkeeper, preferably in a law firm or professional services environment.
- Proficiency with Juris accounting software is required.
- Strong understanding of accounting principles and financial reporting.
- Excellent organizational and multitasking skills.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience in front desk or customer service support roles.
- Familiarity with legal billing procedures and trust account management.
