Job Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support to the Transportation department. This multi-faceted role will provide administrative support to various departments, with a specific focus on payroll and human resources tasks. The ideal candidate will be organized, efficient, and possess strong communication skills. The position requires proficiency in office operations, handling sensitive employee data, and performing payroll and HR duties with accuracy and confidentiality.
Essential Duties and Responsibilities
Administrative Support :
Manage and maintain office supplies, equipment, and records.
Answer phones, direct calls, and handle correspondence (emails, letters, etc.).
Schedule and organize meetings, appointments, and travel arrangements.
Assist with general office tasks including filing, data entry, and maintaining digital and physical records.
Payroll Administration :
Collect, review, and verify employee work hours, overtime, and absences.
Process payroll on a bi-weekly / monthly basis, ensuring accuracy and timeliness.
Generate payroll reports and provide support for tax filings and audits.
Human Resources Support :
Assist with recruitment activities, including posting job openings, reviewing applications, and scheduling interviews.
Support employee onboarding and orientation processes, including preparing new hire paperwork.
Maintain employee records, including personal information, benefits enrollment, and performance reviews.
Administer employee benefits programs and assist employees with questions related to benefits.
Help coordinate employee training, development, and performance evaluation processes.
Compliance & Confidentiality :
Ensure that all HR and payroll practices comply with federal, state, and local regulations.
Maintain confidentiality of sensitive employee information.
Assist with preparing reports for regulatory bodies, if needed.
Qualifications
High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Human Resources, or related field preferred.
2 years of experience in administrative support, payroll, or human resources.
Proficient in MS Office (Excel, Word, Outlook), HR software, and payroll systems.
Strong understanding of payroll processes, taxes, and benefits administration.
Excellent organizational skills, attention to detail, and the ability to prioritize tasks.
Strong verbal and written communication skills.
Ability to handle sensitive and confidential information with discretion.
Physical Demands and Work Environment
Ability to stand and walk on nearly a constant basis
Able to bend, rotate and reach frequently
Full-time position (40 hours per week)
Standard office environment
Occasional overtime may be required
Licenses, Certifications, Registration : Requires a Driver’s License
