The Role This is a hybrid role based out of our US Headquarters in Costa Mesa, Ca. Main Purpose of Role Critical role on the P&C team supporting key human capital processes and stakeholders within the department (locally & globally) as well as across all functions in market. Key point of contact for employees of a host of HR questions including but not limited to benefit programs and payroll. Partner with the business to coach and advise leaders on employment issues, benefit programs, legislation, and compliance. Owner of the effective execution of robust and operationally excellent core people processes including, but not limited to: Reporting & Analytics (internal & external), Payroll Processing for US & Canada, Health Safety & Wellbeing Program Management, Compliance, Benefits Administration and Employee Engagement. Play an active role in building a culture of belonging by creating meaningful opportunities for those based out of our Costa Mesa HQ as well as amongst those team members distributed across the country to connect. Payroll, Reporting & Compliance (60%) Own the end-to-end operational delivery of Payroll in partnership with our payroll provider ADP for both the USA and Canada market teams. Manage all employee changes in ADP and Workday as it pertains to new hires, terminations, leave of absences or time away. Produce OT and PTO reports for key stakeholders to improve operational visibility and budget oversight. Maintain our HRIS (Workday) and ensure employee offboarding and organizational changes are updated in a timely manner and communicated regularly to key internal stakeholders. Responsible for timely completion of audits (401k, Workers Compensation) and all federal and state required reporting (EE0-1, CMS, CA Pay data). Benefits Administration (20%) Partner with VP, P&C to implement a competitive benefits strategy that is aligned with our culture and company strategy Project management of the open enrollment process for our employees from start to finish with a heavy focus on ensuring employee data is correct and file feeds are set up appropriately. On-going administration and customer service of employee benefit programs, including medical insurance and retirement plans. Manage benefit specific vendor relationships to ensure seamless delivery of programs and a positive experience for our employees Trouble shoot employee issues with appropriate external vendors in a timely manner and ensure the appropriate level of communication to all involved parties Ensure the accuracy and integrity of all data transfer between benefit platforms (Fidelity, Anthem, ADP) and ensure F&P’s privacy practices are followed when transmitting sensitive data Facilitate accommodations for employees with disabilities or medical conditions, ensuring compliance with ADA regulations. Administer leave of absence programs, including FMLA, Military and other statutory leave requirements. Drive engagement and utilization of employee benefit technology investments (Calm, HealthJoy, etc) Manage employee ancillary benefit programs (i.e. service milestones, grievance gifts) Monitor the HR email inbox and respond to employee inquiries in a timely manner. HR Support & Continuous Improvement (10%) Monitor, respond and file incoming mail in a timely manner. Support the development and communication of people policies and procedures, ensuring alignment with legal requirements and company objectives. Ensure completion of mandatory employee training; this includes obtaining content to meet legislative requirements and partnering with our global OD team to get it loaded into our Learning Management System Contribute to specific projects as determined in the annual P&C business plan and participate in functional and cross-functional initiatives. Identify opportunities to improve current process and take the initiative to partner with other team members to create positive change and broader impact. Health, Safety & Wellbeing (10%) Oversee workers’ compensation claims process, working closely with our insurance providers and legal (as required). Key member of the US Health & Safety Committee; responsible for actioning key components of the Annual Improvement plan to support a culture of health and safety and drive engagement across F&P and DCS. Role model Health and Safety (physical & psychological) best practice and influence the actions of both leadership and employees. Essential Experience Minimum 5 years’ experience working in Human Resources. Prior payroll experience required, previous experience with ADP Workforce Now is highly preferred Prior experience working with Human Resources Information System (HRIS) required, Workday experience a plus. Collaborative team player, previous experience working within a global or matrixed organization desirable. Excellent communication skills (verbal & written) and a proven aptitude for data driven insights and decision making Superior attention to detail and ability to consistently deliver accurate work is a must Preferred Experience Previous experience working with ADP Workforce Now is highly preferred Prior experience working in a generalist role The salary range for this position is $80,000 - $100,000.
