ABOUT THE POSITION:
As an Exports Sales Data Entry Specialist, you will be responsible for managing and inputting export sales data accurately into the system, ensuring that all information is up-to-date and accessible for the Export Sales team. The ideal candidate will have strong data entry skills, attention to detail, and a passion for supporting international sales operations.
RESPONSIBILITIES:
- Accurately input export sales orders, customer information, and shipment details into the company’s database or Enterprise Resource Planning (ERP) system.
- Ensure that all export sales orders are processed, tracked, and updated in the system, maintaining accurate records of order status, shipments, and deliveries.
- Generate and assist in the creation of regular sales reports, highlighting key metrics like order volumes, shipping status, and payment information.
- Maintain and update the customer database with accurate contact information, shipping addresses, and product preferences for international customers.
- Assist in the preparation and filing of export documentation, including invoices, packing lists, and customs documentation.
- Verify the accuracy of sales orders, ensuring that all details such as product quantities, pricing, and shipping information are correct before final processing.
- Work closely with the Export Sales team ensure timely and accurate entry of all export sales data and assist in resolving any discrepancies or issues.
- Collaborate with the inventory team to ensure that stock levels are up-to-date and available for export orders.
- Ensure compliance with company policies, procedures, and regulatory requirements related to sales data management and confidentiality.
- Proactively identifying opportunities to streamline data entry processes, enhance system efficiency, and improve overall data accuracy and integrity.
- Perform other duties and special projects as needed.
Qualifications:
Education:
- High school diploma or equivalent qualification; additional education or certification in data entry or related field is a plus.
Experience:
- Proven experience in data entry, preferably within a sales or manufacturing environment within the export or cosmetic industry.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Proficient in Microsoft Office Suite and other data management software (ERP systems experience is a plus).
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
- Understanding of sales processes and terminology in the cosmetic industry is a plus.
