General Statement of Duties: Under the Supervision of the Head of Technical Services & Archives, the Archives Assistant for the University Archives and Special Collections will assist in the processing of incoming materials, including paper-based and digital archival records, regalia, monographs, interviews, photographs, scrapbooks and recordings. The Archives Assistant will perform other duties as assigned including assisting with administrative record-keeping for archival collections and workflows, and digital conversion and preservation.
Supervision Received: This position reports to The Head of Technical Services & Archives and will receive direction from full-time Technical Services Staff.
Supervision Exercised: Functional supervision of part-time student assistants.
Detailed Statement of Duties:
- Processes incoming paper-based and digital records; creates electronic finding aids.
- Converts historical documentation from selected collections into preservation-quality electronic format. Uploads digitized documents into digital archives following established procedures.
- Transcribes recorded interviews as needed.
- Assists faculty, staff, students, community members and researchers in locating research material from archival collections.
- Develops electronic finding aids (collection guides).
- Assists the Archivist with administrative record-keeping for archival collections, processes and workflows.
- Assists in the creation of metadata for both digital and physical collections.
- Works with the public and the University community to engage with and increase the use of the collections. Staffs the Archives and Special Collections space to allow access for faculty, staff, students, community members and researchers.
- Develops promotional materials, including assisting the University Archives & Special Collections with highlighting archival collections on the library's social media platforms and website.
- Other duties as assigned by the Head of Technical Services & Archives and/or the Dean of the Library including duties in Technical Services and Public Services.
Job Requirements:
Minimum Qualifications:
- Bachelor's degree.
- Excellent oral and written communication skills; ability to follow oral and written instructions.
- Ability to learn and adapt existing archival processes to accommodate new technologies.
- Ability to work with diverse student populations.
- The ability to interact professionally with coworkers, students, faculty, and other archival users
- Ability to organize work, to assess priorities, and to work independently.
- Ability to acquire knowledge of the methods, materials, tools, and equipment used in archival work.
Preferred Qualifications:
- Experience in a library or archives or museum.
- Working knowledge of Spanish, Finnish, Canadian French, or Italian.
- Demonstrated ability to accurately complete detailed precision work.

Shift Information: This is a part time, non-benefited position.
Shift: 18 hours per week ($21 per hour)
Available shifts: Hours during Monday - Friday from 8am - 4:30 pm.
