Five Star Breaktime Solutions is seeking a friendly and professional Administrative Assistant to be the first point of contact for our visitors and clients. This role requires excellent communication skills, attention to detail, and the ability to manage a variety of tasks in a fast-paced environment. The ideal candidate will play a key role in creating a welcoming atmosphere at the front door, managing incoming calls, and ensuring efficient dispatch of technicians to customer locations.
Key Responsibilities:
- Customer Service & Front Desk Reception:
- Greet visitors, clients, and customers in a courteous and professional manner as they enter the facility.
- Direct visitors to the appropriate departments or personnel.
- Ensure the front desk is clean, organized, and presentable at all times.
- Answering Incoming Phone Calls:
- Answer and route incoming phone calls promptly and professionally.
- Provide basic information about the company and services, and assist with inquiries when possible.
- Take messages and ensure timely communication to the relevant departments or team members.
- Technician Dispatching:
- Receive and log service requests from customers or field personnel.
- Dispatch technicians to customer locations based on urgency, location, and technician availability.
- Monitor and update job status, ensuring technicians are en route and have all necessary information for each assignment.
- Coordinate with the operations team to ensure timely and accurate job completion.
- Administrative Support:
- Assist with scheduling appointments or meetings for staff and clients as needed.
- Maintain accurate records of customer inquiries, service requests, and technician dispatch logs.
- Perform general office duties such as filing, data entry, and inventory tracking.
- Additional Responsibilities:
- Assist in handling minor customer complaints or concerns, escalating issues to the appropriate department when necessary.
- Ensure the office operates smoothly by assisting other team members as needed.
Schedule/Pay:
- Monday - Friday
- 8:00 A.M.- 5:00 P.M.
- $17.00/ Hour
Qualifications:
- High school diploma or equivalent
- Proven experience in a receptionist or customer service role, ideally in a fast-paced or service-oriented environment.
- Strong communication skills, both written and verbal.
- Excellent organizational skills with the ability to multitask and manage time effectively.
- Proficient in Microsoft Office Suite and basic office equipment.
- Ability to work independently and as part of a team.
- Positive, professional demeanor with a strong customer service orientation.
Physical Requirements:
- Ability to sit or stand at a desk for extended periods.
- Occasional lifting of packages or office supplies (up to 25 lbs).
Work Environment:
- Fast-paced office setting, with direct interaction with customers, clients, and field technicians.
- Some flexibility in hours may be required depending on the business needs.
