Five Star Breaktime Solutions is seeking a Fleet Coordinator to support our Risk, Safety, and Fleet Department in managing daily, weekly, monthly, and annual fleet operations. This role will be responsible for researching and analyzing fleet-related data, handling accident claims with insurance companies, and maintaining communication with fleet management vendors. Additionally, the Fleet Coordinator will oversee vehicle maintenance, procurement, branding, and compliance processes, ensuring operational efficiency and safety across our fleet.
This position reports to the Corporate Fleet Director and requires some travel.
Key Responsibilities
- Manage vehicle accident cases and subrogation claims in line with company procedures.
- Maintain knowledge of Five Star’s auto insurance policies and track accident claims.
- Assist in compiling fleet reports and documentation for subrogation claims.
- Monitor vehicle maintenance through the Fleet Management platform.
- Serve as a key contact for Fleet GPS Telematics, Pre-Trip Inspections, and other fleet-related vendors.
- Oversee fleet procurement and disposal, including vehicle ordering and buildout.
- Support fleet branding initiatives and ensure consistent branding across all vehicles.
- Provide excellent customer service to internal and external stakeholders.
- Ensure compliance with DOT regulations and fleet tracking requirements.
- Perform other duties as assigned.
Qualifications & Experience
- 4-6 years of related experience or a combination of relevant education, training, and experience (degree preferred).
- Experience managing fleet operations, insurance claims, and vehicle maintenance.
- Strong analytical, research, and organizational skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Access, PowerPoint).
- Excellent communication, multitasking, and decision-making abilities.
- Strong interpersonal skills and the ability to work across diverse teams.
Certifications & Other Requirements
- Valid driver’s license with a clean driving record.
- Experience with fleet management, insurance claims, and DOT regulations preferred.
- Ability to interpret legal documents, insurance policies, and compliance regulations.
- Must maintain confidentiality and demonstrate attention to detail in all tasks.
