The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO and managing administrative duties and projects for Shop Fix Academy.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Scheduling: calendar management for CEO, including meetings, appointments, travel and other commitments
- Communication: Liaising with internal and external stakeholders, including executives, clients, department heads and staff.
- Meetings: sit in and take notes for business meetings, track and follow up on action items and distribute communications (notes, recordings, etc.) regarding meeting objectives, accountability and goals.
- Organization: Work in tandem with CEO and department heads to develop and manage processes to streamline workflows, including SOPs, KPIs, new coach onboarding, client communication and reports.
- Projects: Assist in the preparation of reports, presentations, data collection and other tasks as needed
- Confidentiality: maintaining confidentiality and discretion when dealing with sensitive and proprietary information
Education and/or Experience
- Bachelor’s Degree in a related field, preferred
- 5 or more years of experience as an Executive Assistant
- 5 or more years of experience with email and calendar management
- 5 or more years of experience with the following software:
- G-Suite preferred
- Microsoft Office preferred
- Basecamp preferred
- Proven experience preparing, scheduling, and monitoring recurring meetings
- Excellent written and verbal communication skills
- Meticulous attention to detail
- Ability to function well in a high-paced environment
- Works well under pressure and is able to meet tight deadlines
- Excellent organizational and time management skills
- Strong decision-making and problem solving skills
