Job Overview:
We are looking for an organized and detail-oriented Job Scheduling and HR Assistant to support both our HR and Scheduling teams. This role is critical in ensuring that our employees are effectively scheduled to meet the operational demands of traffic management projects, while also supporting HR functions such as recruitment, onboarding, and record-keeping. The ideal candidate will be proactive, adaptable, and able to work in a fast-paced environment.
Key Responsibilities:
Job Scheduling and Coordination:
- Manage and update work schedules for field staff and other operational personnel, ensuring appropriate coverage for traffic management projects and other site assignments.
- Coordinate with project managers and team leaders to align personnel availability with project timelines and requirements.
- Ensure that all employees are scheduled according to their qualifications, certifications, and availability.
- Handle requests for time off, sick leave, and shift changes, adjusting schedules as needed while maintaining adequate staffing levels.
- Track project timelines, ensuring that staff resources are allocated efficiently and that any staffing gaps are addressed promptly.
- Keep track on weekly Forman feedback
HR Support:
- Assist with the recruitment process, including posting job advertisements, screening resumes, scheduling and coordinating interviews, and assisting with the onboarding of new employees.
- Ensure employee records are maintained accurately, including personal information, payroll details, and certifications.
- Support the payroll process by verifying employee attendance records and assisting with time-off requests, sick leave, and other employee absences.
- Help coordinate employee training programs, ensuring that all employees meet the necessary certifications and qualifications for their roles.
- Serve as a point of contact for employees regarding HR policies, benefits, and general HR inquiries.
Administrative Support:
- Provide administrative support to both the HR and Scheduling teams, including maintaining employee files, scheduling meetings, and preparing documentation.
- Assist with preparing and generating reports on HR activities, employee attendance, and schedule-related data for management review.
- Coordinate with other departments to ensure smooth communication and operational alignment.
- Organize and maintain filing systems for employee records, training certifications, and scheduling data.
Skills and Qualifications:
- Experience: Previous experience in HR support, scheduling, or administrative roles is preferred. Experience in the traffic management or construction industries is a plus.
- Organization: Excellent organizational and time-management skills, with the ability to juggle multiple priorities and deadlines.
- Attention to Detail: High attention to detail in scheduling, record-keeping, and ensuring compliance with regulations and company policies.
- Communication Skills: Strong written and verbal communication skills to liaise with employees, project managers, and HR personnel.
- Software Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
- Problem-Solving: Ability to identify issues in scheduling or HR processes and proactively offer solutions.
- Team Player: Ability to work collaboratively with team members in HR, scheduling, and other departments.
- Fluency in English is required for this position to ensure effective communication with clients and team members.
Education:
- High school diploma required; a degree or certification in Human Resources, Business Administration, or a related field is an advantage.

Starting Pay Rate: $18 - $21
