What are the responsibilities and job description for the Facilities Coordinator position at Flagler College?
To assist the Executive Director of Facilities in coordinating and supervising all aspects of the Facilities Department and upkeep of all campus facilitates, and to assume administrative responsibility in the absence of the Executive Director of Facilities and the Associate Director of Facilities. To provide administrative coordination for Facilities Leadership and major and minor projects.
- RESPONSIBILITIES: ESSENTIAL FUNCTIONS:
Exercises direct, day-to-day supervision of the Facilities Clerk.
Oversees the flow of information required to coordinate the functions reporting to the Executive Director of Facilities.
Supports the Facilities Leadership in managing contracts, as well as correspondence with contractors and vendors.
Assists Facilities Leadership with purchasing, invoicing, and budget management.
Creates and submits expense reports when needed.
Performs high-level administrative duties related to budget adherence, document preparation, personnel records, in-service training, time sheets, and leave forms.
Supports the Executive Director of Facilities with calendar management and schedule coordination.
Works cooperatively with all appropriate internal and external stakeholders to ensure that Facilities services are delivered with efficiency and promptness.
Keeps Facilities Leadership informed of meeting schedules and report/requirement deadlines.
Maintains a master project management program to ensure that Facilities Leadership is executing individual projects with understanding of how other areas may be affected.
Works extensively with contractors to execute projects when needed.
Maintains a departmental master calendar representing major and minor annual deadlines and duties.
Maintains departmental filing system with consistent naming conventions.
Promotes safety awareness and ensures that employees are following safe working procedures and use required safety equipment.

QUALIFICATIONS: MINIMUM QUALIFICATIONS:
High school diploma
Five years experience with, and aptitude for, facility operations, including, but not limited to computer skills,
Demonstrable supervisory ability.
Ability to comprehend and issue oral and written instructions
Satisfactory work record and attendance
Valid State motor vehicle operators license

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:
Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Sedentary work involved sitting most of the time and occasionally walking and standing.
Climbing, walking, crouching, repetitive motions, and ability to communicate appropriately with students/colleagues.
