Position SummaryIncreasingly responsible fiscal & clerical work in keeping and maintaining specialized state, federal and county fiscal and accounting records.
Essential Functions
- Conducts complex and routine audits of a variety of records by examining, verifying, and reviewing accounts and invoices.
- Prepares intricate schedules/reports using spreadsheet or word processing software.
- Prepares invoices for payment. Maintains expenditure records.
- Coordinates and processes all Adult Day Care administrative functions including, Medicaid LTC billing, Grant copay billing, accounts receivable, maintenance of attendance records and assists with most purchasing and clerical tasks.
- Processes and assembles data for computer input. Enters and edits accounting transactions into on-line financial system to include; purchase order requisitions, change orders and receipting, purchasing card transactions, and other transactions as necessary.
- Responsible for tracking and follow-up of client copays for compliance with grant requirements
- Assists Financial Management Coordinator and Program Managers with calculating the cost of operation of department wide activities, grant required Service Cost Reports, and preparation of budget estimates.
- Enters weekly payroll and maintains payroll and personal leave records.
- Prepares and records weekly deposits for all divisions in accordance with best practices/checks and balances.
- Purchases office supplies for all divisions and maintains record of expenditures
- Reviews encumbrances as to availability of funds.
- Coordinates annual equipment inventory and disposition of records for all divisions.
- Performs related work as required.
- During emergencies, all employees are considered essential personnel and may be required to perform alternate duties.

Minimum Qualifications- Graduation from High School or equivalent.
- Minimum of 2-years experience as an Accounting Clerk or equivalent.
- Comparable experience, education, and training may substitute for minimum qualifications.

Knowledge, Skills and Abilities
- Must have a working knowledge of principles and practices of bookkeeping and ability to apply this knowledge in varied work situations. Multi-tasking is essential.
- Must have the ability to make mathematical calculations with accuracy and reasonable speed.
- Previous experience with working to serve the public and/or general customer service experience is preferred.
