Position Summary
The Administrative Assistant, under limited direct supervision, provides administrative support related to the day-to-day needs of the Flagship Office and Team.
Imperative attributes for the individual in this role include exceptional organizational skills, with a focus on attention to detail and accuracy. This position interacts with colleagues, vendors and customers/clients across all demographics and professional levels. It is critical that the individual in this position possess strong interpersonal communication skills in order to establish and maintain credibility to ensure effective, timely completion of projects. Confidentiality is required.
Job Classification – Part Time , 24- 30 hrs. Non-Exempt Reports to: Sr. Director, Operations
Essential Job Functions
· Provide administrative support to executives and management.
· Represent company as the first point of contact in the office and on the phone.
· Answer incoming calls and route accordingly, or take messages.
· Maintain the overall appearance of the office including the breakroom and ensure it is clean and stocked.
· Laise with building management to ensure facility needs are met. Coordinate with Vendors as needed.
· Order and maintain adequate office supplies.
· Receive, sort, route mail and packages daily. Ship packages daily for all departments as needed.
· Provides cross-coverage and back-up support to other team members
· Support the HR team in employee engagement and other initiatives
· Other duties and special projects, as assigned
Basic Qualifications
High school diploma or GED and:
· 2 years of recent, relevant experience in an administrative support role
· Superior organization skills with a focus on attention to detail and accuracy
· Exceptional interpersonal and communication skills, both verbal and written
· Solid computer skills and ability to learn new systems quickly
· Ability to comfortably work in a virtual environment with a remote team
· Ability to use Google Office Suite
· Ability to manage/prioritize multiple tasks simultaneously
· Ability to work effectively in a very fast-paced, changing environment
· Ability to interact/communicate effectively with team members across all departments and levels of the organization
· Ability to keep confidentiality
· Quick learner with excellent judgment and problem solving skills
· Ability to work independently and as part of a team
· Upbeat attitude and willingness to learn
Preferred Qualifications
· Associate’s or Bachelor’s Degree
· Experience supporting a management team at an administrative level
· Experience within a biotechnology or biopharmaceutical environment
