Attendance Secretary/ Clerk

10 Month Position

Position Title: Attendance Secretary/ Clerk

Department/Section: Thomas Elementary School

Supervisor: Principal

Hourly Rate: $18.00 - $18.75/hour (depending on experience)

Pay Grade: 21

Schedule: 40 hours/week; Monday - Friday (hours tbd); 10 month calendar; Benefits offered; Arizona State Retirement System eligible.

2024 - 2025 School Year work schedule: January 6, 2025 to June 3, 2025.

Summary Of Function

Under general supervision, serves as secretary in a school attendance office and performs a variety of tasks to accurately record, evaluate, and inform administrators and parents/guardians of student attendance patterns; and to do related work as required.

  • Gathers and records accurate attendance information into the student information system (Synergy).
  • Evaluates student absences, issues readmits/passes/dismissals, and information appropriate administrator of unexcused absences.
  • Contacts parents/guardians regarding unverified/extended absences, attendance concerns, and truancy.
  • Maintains an accurate record of all communication between school and home regarding student attendance.
  • Enters attendance for teachers when they do not have necessary access to computer or attendance software; enters attendance for substitute teachers.
  • Runs attendance queries, generates truancy reports, and notifications, submits truancy notifications for appropriate administrator signature and approval, and prepares truancy notifications for mailing.
  • Runs and submits attendance reports per request from the District Office.
  • Runs, distributes and collects weekly attendance reports from teachers.
  • Updates attendance to reflect verifications of excused/unexcused absences and tardies to assure that families do not receive inaccurate telephone communication from the automated attendance caller.
  • Files and retains all written notes/emails/voicemails, medical excuses, and legal communication submitted by parent/guardian regarding student absences.
  • May maintain and update student records and cumulative files as needed.
  • Greets and provides assistance, information, and materials to visitors, parents, students and the public regarding school programs, attendance policies, and referring more complex issues to the appropriate administrator.
  • Greet and orient substitute teachers by providing them with the necessary information and materials.
  • Perform daily computer file backup of attendance records.
  • Enter new students into the system by inputting course information; update student course files daily.
  • Prepare year-end reports and enrollment data.
  • Perform routine secretarial duties, including answering phones; typing correspondence/reports; copying and filing.
  • Perform lunch duty every day
  • Perform other duties as assigned.

QUALIFICATIONS:

Specific Training Or Job Experience Required Before Appointment

  • High school diploma or GED required; Bachelors preferred
  • One year of secretarial duties preferred
  • Keyboarding and computer experience required
  • Microsoft Office required; Synergy experience preferred
  • Bilingual in English and Spanish highly desirable
  • Ability to work with a diverse group of people
