Job Summary
The Wealth Services Back-Office provides certain administrative functions to support front-line Financial Consultants, Sales Managers and Sales Assistants such as, transaction research, on-boarding new Financial Consultants, handling business card/marketing collateral requests, tracking on-boarding/training activities for Licensed Client Consultants, daily/monthly sales revenue reporting (by branch and individual), referral reporting, commission/incentive quality control, as well as serving as the operational liaison with the third-party broker dealer for rep terminations, reassignment of client accounts and branch registrations. Additionally, the Back-Office provides compliance oversight for the Investment Program to ensure that the Broker Dealer is aptly overseeing sales/service activities, compliance monitoring and regulatory training. The Wealth Services Compliance Coordinator role plays a key part in both the operation and compliance functions as well as supporting special project requests by Management.

Job Responsibilities
- 10% of Time: Transaction Research and Commissions/Incentive Quality Control
- 30% of Time: Compliance Related Activities (generating reports for Trade Blotter Reviews, Branch Exams, Customer Complaints, updating tracking logs, identifying trends via dashboard reports)
- 30% of Time: Track/Report Activities of New Licensed Client Consultants (status of onboarding and training)
- 15% of time: Change Requests to Broker Dealer (includes rep hires/terminations, branch/client assignment changes from submission to completion)
- 5% of time: Coupa Submissions: Vendor invoices and Business Card/Marketing Collateral requests
- 10% of Time: Special Projects (i.e., assisting with OCC requests, ad hoc reporting, document gathering for internal risk reviews, etc.
- Branch Revenue Crediting (upon conducting internal research and determining correction is needed)
- Branch Registration Status with Broker Dealer (involves reconciling the Broker Dealer Reports and identifying discrepancies)
- Transaction Research for Both Advisor and Branch Crediting
- Performs special projects, and additional duties and responsibilities as required.
- Consistently adheres to regulatory and compliance policies and standards linked to the job as listed and complete required compliance trainings. Accountable to maintain compliance with applicable federal, state and local laws and regulations.
Required Qualifications:
- Education level required: College, Vocational or Associates Degree (2 years or equivalent) (Add applicable additional detail i.e. field of study required or equivalent work experience if applicable). Equivalent would be 2 years working in back-office similar in nature (investment office)
- Minimum experience required: 5 Years (Add detail regarding type of experience required.) Office type environment using Microsoft applications such as Excel, Word, PowerPoint
- (Additional experience required, if applicable) Banking, Finance/Investments or Accounting Background
- (Insert specific certifications or technical expertise i.e. required licensing, certifications, or specialized training) Insurance Licensed and/or FINRA Registered (Series 6 or Series 7) preferred but for right candidate, will allow 12 months from hire date to obtain
- Education level preferred: Undergraduate Degree (4 years or equivalent) (Add applicable additional detail i.e. field of study preferred or equivalent work experience if applicable) Banking, Finance/Investments or Accounting Background

- Strong Excel Proficiency (including Formulas, Pivot Tables, Macros and PowerPoint )
- Strong Communication Skills – Written and Verbal
- Detail Oriented – self-sufficient, can maintain high focus with ability to multi-task and finish tasks efficiently
- Working Knowledge of SharePoint, SalesForce, Coupa
