Facility Coordinator
This position reports to the Facility Manager and will be responsible for assisting and fulfilling the day-to-day needs of the facility management team.
Essential functions and responsibilities
· General office administrative – Maintain office and kitchen supplies and order as needed. Oversee and coordinate employee appreciation planning and events (birthdays, anniversaries, holidays).
· Fleet, tool management, resources for facility techs- helping maintain the tool inventory system with the techs, vehicle management i.e. licensing, managing the maintenance and cleanliness of the vehicles. Setting up the contracts for maintenance, completing random cleanliness checks and reporting deficiencies to facility manager. Manage GPS reports, Order and manage uniforms for the facility team.
· Contract management for facilities contracts - lawn contracts, snow removal, PM agreements, etc. Must have the ability to request bids/proposals from vendors, review for accuracy, and present to the facility manager. Manage the organization of the contracts, the expiration dates, and collect w9/COI and other relevant info for setting up a vendor.
· Facility coordinating – work with the facility manager to organize and review incoming service requests. Communicate with client and vendors to resolve issues and provide project status updates. Order equipment and supplies as needed. Follow up with clients to ensure customer satisfaction.
· Administrative support – create presentation materials as needed for the project and facility team using power point, adobe, etc. Must have the ability to create clean and professional reports.

· Experience with coordination and customer service.
· Experience with Excel, Word, and Power Point. Creation presentation materials. Knowledge of Smartsheet preferred.
· Knowledge of administrative and clerical procedures as well as organizational methods and the ability to manage multiple tasks/duties simultaneously.
· Ability to work effectively both independently as well as in a team environment to attain personal, team and company goals.
· Ability to maintain confidentiality.
· Ability to assist in other work-related duties, as necessary.
Education and experience requirements
· High school diploma or a General Equivalency Diploma (GED) required. Associates or Bachelors degree in facilities management, building, business or other related field preferred
· A minimum of 3-5 years of experience in an administrative, accounting or tenant services capacity
· Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
· Previous customer service experience
· Prior experience working in the facilities/property management, commercial real estate or professional
Job Type: Full-time
Pay: $28.00 - $32.00 per hour
Expected hours: 40 per week
