Pay : $24.00 - $26.00 / hour

We are seeking an Office Administrator whose work ethic and objective aligns with our goals to deliver the highest quality service, maximum efficiency and consistency.

The Senior Office Administrator provides daily administrative support to the location and Site Manager. The Senior Office Administrator corresponds regularly with applicants, employees, and management in person, via email and telephone. They are responsible for managing employee and personnel records, conducting interviews, hosting new hire orientations, supporting benefit enrollments, worker's compensation claims, and generating various other documentation as needed; they maintain and safeguard confidential information and security.

GENERAL OFFICE :

  • Provide excellent customer service and answer all incoming calls. Preview and forward telephone messages to the appropriate persons .
  • Greet all visitors and answer general questions.
  • Schedule meetings, appointments, and update calendar(s) as appropriate.
  • Type correspondence, reports and other documents as needed. Ensure professionalism and accuracy of all correspondence produced.
  • Maintain supply of company forms in the appropriate locations, maintain office appearance and cleanliness (may include vacuuming, cleaning kitchen and bathroom areas, empty trash, wipe sinks, toilets and counters, etc).
  • Participate in biweekly administrator conference calls and any other required company conference calls. Follow up on action items in a timely manner.
  • Ensure all labor law postings are filled out and posted in offices and all site locations. Replace postings as needed or required by state law as instructed by corporate office.
  • Gather required paperwork for any work-related injury for reporting purposes and notify appropriate individuals immediately upon notification of injury. Assist employees in completing paperwork. Follow the appropriate WC procedure to administrator and open new WC claims.
  • Respond to all corporate requests and support locations as needed with various projects.

HIRING / ON-BOARDING / PERSONNEL RECORDS / TERMINATIONS :

  • Post job ads for recruiting and hiring for various positions. Process walk-in job applicants.
  • Conduct preliminary interviews via phone and in-person, coordinate driving tests for applicable positions.
  • Manage pre-employment process and on-boarding process.
  • Follow-up with candidates who were not selected for hire or invited for orientation.
  • Create and maintain all personnel files with the upmost security and confidentiality.
  • May complete disciplinary form letters, write-ups and other personnel related actions and administer minor discipline and assist the Site Manager if needed.
  • Take the lead on location employee-related investigations, including gathering statements from all parties involved and ensure Human Resources is provided with all applicable information to make a fair, timely and reasonable decision.
  • Process termination paperwork and ensure separation documentation is forward to employees as applicable.
  • Consistently maintain confidentiality and ensure personnel files are always locked away.
  • PAYROLL :

  • Assist with payroll related matters such as verifying clock-in and clock-out times; entering missed punches or hours as appropriate and ensuring that all time and attendance records are accurate and up to date.
  • Order net-checks for voluntary and involuntary separations, submit all garnishments to the employee and the payroll company.
  • Ensure all new hires are added to the timeclock in a timely manner.
  • Help organize and distribute paychecks each payday.
  • Monitor overtime hours : field employee time-off requests and reconcile timecards.
  • Submit payroll hours in a timely manner each week.
  • Hold benefit enrollment meetings with eligible employees on a monthly basis.
  • Maintain a positive relationship with the customer and ensure their needs are met.
  • Regular attendance per FleetLogix policy is required and is an essential function of the position. Employees with attendance issues or excessive tardiness will be subject to disciplinary action, up to and including termination.

  • ATTENDANCE :

  • Assists with scheduling as directed by the Site Manager.
  • Track attendance by monitoring the call-in line to confirm employee attendance is accurate and ensure the site manager is kept informed.
  • Maintain and update employee schedules as needed.
  • Maintain and submit a daily call-out or no-show list based on time punches.
  • SUPERVISORY RESPONSIBILITIES

  • QUALIFICATIONS / COMPETENCIES
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Prior experience and knowledge of human resources / employment practices highly desired, excellent customer service skills, ability to always maintain confidentiality and professionalism.
  • Requires strong ability to multitask, take own initiative, be a proactive problem solver, set priorities, organize work, and meet deadlines.
  • EDUCATION AND / OR EXPERIENCE

    Associate or bachelor's degree preferred, minimum High School diploma or general education degree (GED) strongly preferred. Minimum 5 years of prior administrative experience required.

    COMMUNICATION SKILLS

    Excellent verbal and written communication skills including grammar and editing skills. Ability to read and comprehend simple instruction, correspondence, and memos. Ability to write correspondence. Bilingual in English & Spanish is highly desired.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to deal with problems involving a few concrete variables in standardized situations.

    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving fiscal databases, accounting, and billing. Ability to define problems, collect data, establish facts, and draw valid conclusions.

    COMPUTER SKILLS

    Intermediate proficiency in MS Office Products (Word, Excel, PowerPoint); Internet & Google Interface.

    LICENSES & CERTIFICATIONS
