Job Summary:
The Safety and Compliance Administrator supports the safety and compliance department by ensuring the company adheres to DOT regulations, company policies, and industry safety standards. This entry-level position involves maintaining records, assisting with audits, and coordinating driver compliance tasks.
Key Responsibilities:
- Maintain and update driver qualification files, ensuring all required documents (CDLs, medical cards, training certificates) are current.
- Assist in tracking Hours of Service (HOS) logs and verifying compliance with DOT regulations.
- Conduct routine safety audits and inspections of company records and processes.
- Assist with accident reporting and investigation documentation.
- Ensure compliance with drug and alcohol testing requirements, coordinating with testing providers.
- Provide administrative support for safety meetings, training sessions, and compliance-related communications.
- Assist in processing and filing claims related to incidents, insurance, and workers' compensation.
- Stay up to date with DOT, FMCSA, and OSHA regulations and notify management of any compliance updates.
- Perform other duties as assigned by the Safety Manager or Compliance Supervisor.
Qualifications & Skills:
- High school diploma or equivalent (Associate’s degree preferred but not required).
- 1 years of experience in an administrative or compliance-related role (trucking industry experience preferred).
- Familiarity with DOT and FMCSA regulations is a plus.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and database management.
- Ability to handle confidential information with professionalism.
- Strong communication skills, both verbal and written.
- Ability to work independently and within a team.
Work Environment:
- Office setting with occasional visits to terminals or fleet yards.
- Some interaction with drivers, maintenance personnel, and safety teams.
- May require occasional travel for training or compliance audits.
