Responsibilities
· Welcome customers and greet guests who visit the agency
· Coordinate front-desk activities, including distributing correspondence and redirecting phone calls on multi-line phone system
· Direct clients to the appropriate staff and office
· Answer, screen, and forward all incoming phone calls
· Ensure reception area is always neat and presentable
· Operate standard office equipment on a regular basis, including fax machine, copy machine, mail machine, and computer
· Provide basic and accurate information to callers and guests
· Receive, sort, and distribute daily mail and deliveries
· Take inventory of office supplies and restock/order as needed
· Perform other clerical and administrative duties
· Maintain office security by following privacy procedures and controlling access via the front desk
Requirements
• High school education or its equivalent is preferred
• Required 2-3 years of relevant experience in an office environment
• Strong organizational skills and ability to prioritize tasks
· Basic knowledge of MS Office Suite (Word, Excel, PowerPoint)
· Able to type 35 wpm minimum
· Strong phone, verbal, and written communication skills
· High degree of attention to detail
· Ability to multi-task and meet deadlines
· Professional demeanor and excellent interpersonal skills
· Punctual with strong attendance history
· Comfortable with routinely shifting demands
