Responsibilities
Welcome customers and greet guests who visit the agency
Coordinate front-desk activities, including distributing correspondence and redirecting phone calls on multi-line phone system
Direct clients to the appropriate staff and office
Answer, screen, and forward all incoming phone calls
Ensure reception area is always neat and presentable
Operate standard office equipment on a regular basis, including fax machine, copy machine, mail machine, and computer
Provide basic and accurate information to callers and guests
Receive, sort, and distribute daily mail and deliveries
Take inventory of office supplies and restock / order as needed
Perform other clerical and administrative duties
Maintain office security by following privacy procedures and controlling access via the front desk
Requirement
High school education or its equivalent is preferred
Required 2-3 years of relevant experience in an office environment
Strong organizational skills and ability to prioritize tasks
Basic knowledge of MS Office Suite (Word, Excel, PowerPoint)
Able to type 35 wpm minimum
Strong phone, verbal, and written communication skills
High degree of attention to detail
Ability to multi-task and meet deadlines
Professional demeanor and excellent interpersonal skills
Punctual with strong attendance history
Comfortable with routinely shifting demands
