Job Description : We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the CEO of a fast-paced technology company. This role is ideal for someone who thrives in a dynamic environment, has exceptional communication skills, and can manage multiple priorities with ease. As the Executive Assistant to the CEO, you will be the right-hand person to ensure the CEO's time is optimized, meetings run smoothly, and key projects are supported. This position offers exposure to senior leadership, innovation, and the opportunity to work closely with all departments in a rapidly growing company.
Responsibilities : Executive Support :
- Manage the CEO’s calendar, schedule meetings, coordinate travel arrangements, and prepare itineraries.
- Prioritize and follow up on emails, communications, and requests for the CEO.
- Screen phone calls, inquiries, and requests, handling them when appropriate or redirecting them to the appropriate party.
- Draft, proofread, and edit correspondence, presentations, and other documents.
- Anticipate the needs of the CEO and proactively manage workflows to ensure efficiency.
- Serve as a liaison between the CEO and internal teams, clients, investors, and external partners.
- Prepare and organize materials for meetings, briefings, and presentations.
- Coordinate and manage internal and external communications, ensuring key messages are delivered effectively.
- Handle confidential information with the highest level of discretion and professionalism.
- Assist with special projects, initiatives, and strategic tasks, often involving crossfunctional teams.
- Track and follow up on the status of key projects and initiatives, ensuring deadlines are met.
- Help prioritize CEO's commitments and follow through on action items.
- Organize executive meetings, both internal and with external stakeholders, including arranging logistics and preparing agendas.
- Assist in organizing corporate events, conferences, and team-building activities.
- Handle expense reports and assist with budget tracking as needed.
- Manage office supplies and ensure smooth day-to-day operations for the CEO's office.
- Provide backup support for other executive assistants and teams as necessary.
- 10 years of executive assistant experience, preferably supporting C-level executives in a fast-paced, technology-driven environment.
- Experience in managing a busy calendar and coordinating high-level meetings.
- Strong project management skills with a proven track record of meeting deadlines.
- Strong verbal and written communication skills, with an ability to communicate clearly and professionally.
- Exceptional organizational and time-management skills, with. a keen ability to prioritize multiple tasks, manage time effectively, and meet deadlines.
- Proficiency in Microsoft Office Suite, Google Workspace, and other office software tools. Familiarity with project management tools (e.g., Asana, Trello) is a plus.
- Strong attention to detail with a proactive approach to problem-solving and task management.
- High level of discretion and the ability to handle confidential matters with integrity.
- Proactive, solution-oriented mindset with a strong sense of urgency.
- Ability to remain calm and effective under pressure.
- Positive, can-do attitude with a professional demeanor.
- High emotional intelligence and interpersonal skills, capable of working with a wide range of personalities.
