What are the responsibilities and job description for the Customer Service Representative position at Flex-Staff, Inc.?
We have a great opportunity working for a small business that offers the PERKS of a large corporation with the amenities of the family-owned business. This position requires an energetic candidate with a high level of professionalism and exceptional attention to detail. A positive attitude with the ability to quickly change focus and direction while maintaining an organized work environment. Responsible for customer and vendor interaction as well as related support functions.
Here's a snapshot of the job:
Customer Related
- Take daily phone calls and support customer and vendor needs.
- Direct interaction with customers in relation to quoting, order entry process and customer acknowledgements.
- Review and confirm accuracy of purchase orders vs. quote.
- Maintain process of follow up calls to customers after quotes have been sent
- Maintain Job list and due dates.
- Work directly with Shop to maintain on time delivery and customer care.
Vendor Related
- Enter accurate data for purchasing as requested by engineering and or shop.
- Manage due dates for incoming materials. Vendor calls as needed to assure on time delivery.
- Support material receipt as needed. Confirm and acknowledge accuracy of quantities and sizes of incoming materials.
- Work directly with Shop Supervisor to support material flow.
DTI Related
- Direct facilitator for ERP system.
- Work directly with President on daily functions.
- Work closely with Accounting Associate by providing necessary documentation and backup to this position.
- Work closely with and support Shop Supervisor.
- Work closely with and support estimators by entering necessary information into software for release to customers.
Related Duties
- Make customer service a priority.
- Attention to detail, correct documentation to customers and vendors is critical.
- Support Shipping / Receiving.
- Work directly with Shop Supervisor to manage driving schedule.
- Receive incoming phone calls and direct them to the appropriate individuals.
- Greet and direct visitors.
- Sort daily mail. Bills and checks sorted to accounting.

Requirements:
Education / Related Work Experience Preferred
- Associate Degree or equivalent / Office Assistant / Administrative Professional
- Office experience is required
Knowledge, Skills and Abilities Preferred
- Proficient in Quick Books.
- Proficient in Excel.
- Proficient in Word.
- Excellent data entry skills.
- Ability to work independently and prioritize tasks.
- Ability to communicate effectively with people both internal and external.
Working Conditions
- Hours – Typical M-F 7:00am to 3:30pm with additional hours as needed.
- Majority of time spent in office environment, sitting, typing, utilizing computer.
- Occasional Shop time required.
