Position Summary:
The Payroll Analyst I is responsible for interpreting clinician timekeeping records and manually entering reported hours into the company’s ERP payroll module (NetSuite). In addition, the analyst will audit the reports and entries of others to verify that all time has been entered accurately. The Payroll Analyst I will assist the payroll team with various tasks to meet the payroll processing deadlines and departmental goals.
Essential Functions:
- Enter hours reported by clinicians into NetSuite, including regular, overtime, double time, meals, call-off, on-call, call-back, charge, and sick on a weekly basis.
- Upload weekly timekeeping documents to their corresponding payroll records (weekly schedules) within the ERP payroll module.
- Calculate pay adjustments, involving wages and stipends, for clinicians who incorrectly reported their hours in prior pay periods.
- Process clinician reimbursement pay for pre-employment costs, mileage, certifications, etc.
- Verify eligibility of reported sick hours and approve or reject accordingly.
- Process payment for hours where the clinician was called off, as directed by Revenue Assurance.
- Process payment for bonuses as instructed by Account Management and Recruitment.
- Serve as a subject matter expert for assigned clients and assist in the preparation of Standard Operating Procedures (SOPs) for such clients.
- Enforce facility-specific timekeeping instructions (TKIs) to ensure clinicians are paid for the hours entered into the facility’s timekeeping system.
- Ensure a positive clinician experience by making deadline exceptions when time permits.
- Work collaboratively with Recruitment to obtain all necessary documents and facility approvals to ensure clinicians are paid timely and accurately.
- Review and approve hours in client portals when required.
- Assist payroll team members with time entry and auditing when needed to meet weekly payroll deadlines.
- Communicate daily with supervisor to report progress and expected completion times, issues resulting from clinicians not following instructions, and changes in facility timekeeping requirements.
- Other duties as assigned to meet the ongoing needs of the organization.

Required Education & Experience:
- Minimum of one year of payroll experience.
- Bachelor’s Degree preferred.
- Previous experience with an ERP preferred.

Pay Transparency Information:
At FlexCare Medical Staffing, we believe that pay transparency is essential for building trust and supporting a culture of fairness and accountability. To reinforce this commitment, we provide a clear range for each role's potential compensation, which includes both base salary and variable incentives.
For this role, the estimated annual compensation is between $22.70 - $29.52 USD, with the final compensation amount determined based on factors such as relevant experience, education, skills, role requirements, and location. Where applicable, the variable incentive component has a target amount, though the final payout is linked to both individual and company performance.
