Job Description: Office Assistant
Location: Skagit Valley/Whatcom County (Hybrid)

Key Responsibilities:
Support the Planning and Production Team with administrative tasks
· Serve as the administrative support for planning team including scheduling meetings, maintaining calendars of Planners, and client correspondence
· Support the Production Team maintaining files, folder structure, and apps/software
· Manage inbound communication and traffic from clients for the Production Team, including team, phone, and digital communications to ensure they get the help they need or to the person/team appropriate for their needs.
· Attend meetings and take and organize notes.
· Maintain contact databases and assist the Service Team with communication to clients.
· Attend meetings and take notes, including following up on action items
· Act as Executive Assistant to Planners coordinating meetings, communication, managing email inboxes, and helping prepare for client work.
· Work with Office Manager to improve systems, templates, processes for the Planning Teams
Manage Client Information
· Maintain contact databases and assist the Service Team with communication to clients.
- Assist the Planners with the sales pipeline process and helping follow up with prospects
- Assist the Planners with the Onboarding process to ensure smooth client experience and transition to clients.
- Manage client contracts for prospects and current clients, notifying Planners of expiring contracts
Additional Duties:
· Greet and welcome clients and prospects at our in-person office
· Assist Office Manager to schedule and organize company events
· Assist Billing Specialist with monthly billing
· Assist Planners with ad hoc projects for clients
Soft skills
· You are a natural people person and love working with clients and your team to get the solution or help they need.
· You should be able to navigate a variety of team personalities and styles to help them serve their clients.
· You should be comfortable speaking and communicating with clients and your team
Job Requirements:
· Prior experience as administrative support in an office setting
· Be team-oriented with a passion for process improvements
· Strong communication skills, both verbal and written
· Navigating and managing team administrative needs in a Microsoft Teams environment
· Proficient at Microsoft Office products (PowerPoint, Excel, Word)
· Karbon and Practice Ignition technical experience or ability to adapt to new technology

Pay: $20.00 - $25.00 per hour
Expected hours: 32 per week
