What are the responsibilities and job description for the Special Education Secretary position at Flint Community Schools?
The Learning Support Services Secretary provides a variety of secretarial support to assigned administrator and department; establishing and maintaining department records; coordinating assigned projects; and compiling and distributing a wide variety of materials and reports. Makes frequent contact with parents, students and staff.

Placement: Flint Community Schools – Administration Building
Essential Job Functions (note this is not an exhaustive list of the duties performed for
this position):
1. Provides administrative support to the Director, maintains appointment calendar, may assist in compiling or monitoring budget records, tracing mandated costs, typing correspondence and reports from draft or brief direction, relieve Director of routine administrative duties when appropriate;
2. Serves as the department’s receptionist; performs general office duties, provides information in person and via telephone, take and relay messages, schedule appointments, provide direction to staff, students and parents; type and duplicate forms, newsletters and reports, establish and maintain files, assist with requisition process and inventory of supplies, materials, equipment and machines;
3. Maintains supply inventory and prepares order requisitions as needed.
4. Types general reports and letter accurately. Maintains master list of all reports.
5. Run and provide discipline and attendance reports from the district’s student information system (Synergy).
6. Assist with IEP timeline requirements and sends staff updates, ensuring the validity of all data presented.
7. Responsible for archiving existing data.
8. Receiving and sending special education records.
9. Complete social security disability and Department of Corrections information requests.
10. Complete Genesee Health Systems information requests.
11. Maintain Director and Supervisors calendars. Schedule appointments, as necessary.
12. Process transportation requests. Notify parents accordingly.
13. Process department invoices for payment.
14. Assist with department’s employee payroll.
15. Assist notifying staff of monthly Medicaid summaries.
16. Assist with maintaining the transportation report.
17. Interacts with co-workers, administration, students, parents, and the community in a positive, supportive, and cooperative ways.
18. Performs other related duties, including special projects, as required or requested, consistent with reasonable expectations for the contracted position.
