Flooring Experts is a full-service flooring company that provides great value and extraordinary quality to residential and commercial properties across the DC Metro area, and we are looking for an A-player to join our team.
The Office Manager manages the office operations of Flooring Experts. This includes providing oversight of computer programs, third party systems, managing administrative aspects of day to day business, managing company assets, assisting on researching and making contacts with potential new business leads, updating leads to jobs, ensuring problem and warranty jobs are progressing properly, managing our trades and vendors, and assisting Flooring Experts and General Manager when needed.
Responsibilities & Duties:
- Capture and organize incoming leads and prospects.
- Provide support to field staff to assist them with administrative work.
- Convert leads to jobs and ensure the leads meet the standards before they are put into production.
- Ensure correct and timely updates are entered in the company software by monitoring the dashboards for leads and jobs.
- Assist the General Manager with merchandising and ensure all product databases in the system are updated and maintained properly.
- Place orders for customer samples and materials on new jobs and ensure we are keeping stock inventory up to date.
- Manage company assets such as vehicles, electronic equipment, and tools.
- Ensure all proper paperwork for local and federal taxes is up to date.
- Ensure all insurance certificates are up to date and maintain proper supporting documents.
- Assist in evaluating and documenting processes.
- Assist in training new and existing employees.
- Ensure all the required information in our software is always up to date.
- Keep the office and samples organized.
- Verify invoices from vendors to ensure we are paying the correct costs.
- Manage virtual admins to ensure all the work is being done correctly and timely fashion.
- Deposit checks and assist in the collection process.
- Manage the NPS process and follow up with customers and contractors on any jobs that require attention beyond the production and sales team.
- Prepare weekly, monthly, and quarterly accounting and sales reports for the General Manager.
Qualifications:
- 3 years of office administration experience
- Leadership skills and prior management experience
- Experience in the construction industry is highly desirable
- Excellent time management skills and ability to multitask, prioritize work
- Attention to detail and strong organizationalskills
- Proficiency in MS Office and knowledge of Google Apps
- Willingness to take on additional responsibilities or projects to help team members
- Excellent verbal and written communication skills
