Florence Endocrine Clinic is dedicated to providing high-quality Endocrine care to our patients. We are seeking a highly organized and proactive Executive Administrative Assistant to support our practice in overseeing both clinical and administrative operations. This is a key role in ensuring the smooth day-to-day functioning of the practice.
Position Overview
The Executive Assistant will work directly with the Practice Manager to assist with administrative tasks, project management, and operational duties. This role requires exceptional organizational skills and attention to detail, as they will be responsible for managing a substantial amount of incoming and outgoing correspondence—ensuring all documents are scanned, correctly filed in patients’ charts, and faxed as needed. Additionally, the Executive Assistant will be the point person for our Medication Access program, ensuring that patients facing financial difficulties have access to the medications they need.
Key Responsibilities
- Provide administrative support to the Office Manager, including scheduling meetings, managing correspondence, and handling confidential documents.
- Assist with daily clinic operations, including coordinating staff schedules, overseeing inventory, and ensuring compliance with policies.
- Manage and process all incoming and outgoing correspondence, ensuring proper scanning, charting, and faxing of documents.
- Oversee the Medication Access Program, working directly with patients, pharmaceutical companies, and insurance providers to facilitate access to essential medications.
- Communicate with vendors, providers, and external partners on behalf of the Practice Manager and office manager.
- Help streamline office procedures and improve workflow efficiency.
- Other duties as assigned to support the success of the clinic.
Qualifications & Requirements
Experience: 2 years in an administrative or executive support role (preferably in healthcare or a clinical setting). Healthcare setting experience preferred, but not required.
Skills:
- Exceptional organizational skills and attention to detail.
- Knowledge of Endocrinology or Internal Medicine a plus.
- Ability to investigate a problem and follow it to its root issue to minimize the inconvenience and time needed from the providers tasked with the issue.
- Strong ability to manage large volumes of paperwork and ensure accurate filing and documentation.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office and Google Workspace.
- Experience in Practice Fusion and eClinical Works a plus.
- Ability to handle sensitive information with discretion.
- Problem-solving mindset and ability to work independently.
- Compassionate approach to working with patients in financial distress.
Education: Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or a related field preferred, but not required.
