Position Vacancy Announcement

Florida A&M University's College of Law is pleased to announce the acceptance of qualified applications for the Assistant Director of the Registrar's Office vacancy. The Assistant Director will be primarily responsible for working collaboratively with the Registrar at the College of Law, students, faculty, and law school stakeholders.

Located in beautiful and sunny downtown Orlando - one of the most highly sought venues in the southeastern United States - the College is housed in a 160,000 square foot, state of the art facility. Strategically situated in the heart of Orlando's thriving downtown business community, the College of Law lies within walking distance of federal and state courts, major law firms, art galleries and important civic arenas. The College of Law has a current enrollment of more than 500 full and part-time students. The student body ranks as one of the most diverse in the nation. The College of Law boasts a diverse faculty composed of thoughtful and productive scholars from nearly every walk of legal life, including diplomatic, military, and government service, large and small private law practice, international organizations, and the judiciary. Increasing the number of minority lawyers in Florida able to practice law upon passing the bar is central to the College's mission.

Responsibilities

The incumbent in this position will manage academic records, supervise production of transcripts, enrollment verifications, coordinates the completion of studies and preparation of reports, and the processing of request from students, faculty and staff. The Assistant Director of Registration will assist the Director of Registration with the coordination of a campus-based Registrar's Office and also be responsible for developing and implementing internal policies/procedures for delivery of quality registration and effective customer service.

Ensures the accuracy and security of student academic records by developing procedures for maintaining academic records and recording student grades in accordance with FERPA, ABA Standards, University policies, Law School policies and standard records management practices, supervising the staff responsible for implementation of those procedures, and reviewing daily proof reports of updates and changes to student records to ensure accuracy and compliance with policy; Oversees registration services by developing and documenting policies and procedures, implementing and maintaining effective systems, and working in cooperation with the Registrar and others to ensure academic policies and procedures are enforced and proper records are maintained; Works with systems to query databases for annual ABA Reports statistics and other reports as needed; Conducts compliance checks on student enrollments and registration, overloads or under loads of units, incorrect grading options, and enrollment in required classes; and ensures College of Law Registrar section of College of Law site is current.

Assists Director in developing and implementing appropriate internal policies and procedures required to ensure compliance with ABA Standards, federal regulations, and state regulations; Oversees the overall final examination process to include but not limited to preparing grade rosters, hiring exam proctors, posting final exam signage, coordinate with College of Law Student Affairs Office regarding rescheduled/accommodated exams, distribution of examinations numbers and College of Law IT office regarding Examsoft; and responsible for beginning and end of term processes to include but not limited to grade processing, bar certifications, rankings, academic standings, veteran benefits certification, degree audit and certification.

Resolves problems and enhances various processes, projects, procedures, etc. by employing critical thinking skills and creativity; Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of diverse backgrounds; Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, and attending training and/or courses; and contributes to the overall success of the College of Law Office of the Registrar by performing all other duties and responsibilities as assigned.

Minimum Qualifications

Bachelor's degree in appropriate area of specialization and four years of related experience; or master's degree in appropriate area of specialization and two years of related experience.

Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices;

Ability to represent the University in appointed area as required; and

Ability to establish and maintain effective working relationships.

Pay Plan

This is an Administrative and Professional (A&P) position.

Conditions of Employment

Successful candidate is subject to a pre-employment screening which includes a review of criminal records, reference checks and verification of education. An official college transcript, a high school diploma, or other educational documents must be submitted, where applicable, at the time of employment.

Section 110.1128, Florida Statutes, prohibits employment by the State (including re-hire after a break in service) of any male born after October 1, 1962, who failed to register with the Selective Service System, under the provisions of the U.S. Military Selective Service Act, during the person’s period of eligibility (ages 18 through 25). Additionally, if currently employed by the State, this law prohibits the promotion of such person. You may be required to provide documentation.
