Description: We are seeking a detail-oriented and organized Part-Time Procedure Scheduler to join our team. The Procedure Scheduler will be responsible for efficiently coordinating all aspects of patient procedures within our gastroenterology office. This role requires excellent communication skills, the ability to multitask, and a strong commitment to patient care.

As we continue to grow, we are seeking a Procedure Scheduler to join our team and support our mission.
Essential Duties:
- Schedule patient appointments for gastrointestinal procedures, including colonoscopies, endoscopies, and other diagnostic tests.
- Coordinate with patients, physicians, and medical staff to ensure accurate scheduling and preparation for procedures.
- Check out patients after each appointment and review treatment recommendations.
- Communicate procedural instructions, including preparation and dietary guidelines, to patients in a clear and concise manner.
- Notify billing of scheduled procedure to obtain prior authorization (minimum of 2 weeks needed).
- Notify MA of scheduled Pillcam to obtain prior authorization (minimum of 2 weeks needed).
- Provide RX as instructed by provider for procedure.
- Maintain accurate records of scheduled appointments and procedure details in electronic medical records (EMR) systems.
- Address patient inquiries and aid with scheduling changes or cancellations as needed.
- Collaborate with other administrative staff to optimize scheduling efficiency and patient flow within the office.
- Follow up with patients to confirm appointments and provide pre-procedure instructions.
- Provide compassionate patient care and always maintain patient confidentiality.
- Handle patient inquiries and concerns promptly and effectively.
- Comfort patients by anticipating patients’ anxieties and answering patients’ questions.
- Communicate clearly and effectively with patients, medical staff, and other team members.
- Assist with other administrative tasks as assigned by management, including creating packets/encounter forms, stocking from desk with necessary supplies, general upkeep/cleaning of front desk area and reception area.

Qualifications:
- High school diploma or equivalent required
- Prior experience in medical scheduling, preferably in a gastroenterology or healthcare setting.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills
- Proficiency with electronic medical records (EMR) systems and scheduling software.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Customer service-oriented attitude with a commitment to patient care.
- Knowledge of medical terminology and procedures related to gastroenterology is a plus.
Work Hours: Tuesday and Thursday, 8:00 AM - 5:00 PM
Physical Demands:
The employee is frequently required to walk; sit; use hands for fine manipulation, handle or feel and reach with hands and arms using a keyboard and video display terminal. The employee is occasionally required to stand and stoop, kneel, crouch or crawl and climb stairs. The employee should be able to lift and move up to 25 lbs. The work environment is typically quiet to moderate with standard office noise levels. While performing the duties of this job, the employee may occasionally be exposed to sounds such as ringing phones, office equipment, and conversations among colleagues.
