Assistant Property Manager
Primary Job Duties
The Assistant Property Manager provides clerical and administrative support to Community Association Managers and assists with daily office operations. This role serves as a key communication point for managers, homeowners, board members, vendors, and corporate staff.
Essential Responsibilities :
Respond promptly to homeowner inquiries via phone, email, work order, letter, or in person.
Interact with vendors and assist with emergency requests as needed.
Assist in compiling documents and copies for Board meeting packages.
Generate envelopes for association-wide mail distributions.
Maintain a calendar of scheduled meetings in the office conference room.
Collect and distribute mail and correspondence to Community Managers.
Process invoices using Strong Room, Buildium, and physical checks.
Assist in monitoring homeowner accounts receivable balances.
Maintain a record of key association dates, including annual meetings, budget adoption, compliance with Senate Bill 4D, and inspection schedules.
Support the Community Association Manager in tracking association delinquency rates.
Catalog and send payments received in the office to the Corporate Office.
Perform monthly and ad hoc billing for waste and debris removal and other association expenses.
Process new homeowner welcome packets, if applicable.
Issue key fobs, pool passes, and access control keys.
Assist in processing Architectural Control Committee (ACC) applications.
Facilitate vendor registration with the Master Association, ensuring compliance with required documentation and background screenings.
Provide homeowners with support regarding association corporate programs (websites, portals, etc.).
Participate in association training sessions, including webinars.
Perform additional duties as assigned, demonstrating flexibility to accommodate the needs of the management team and clients.

This is a Full-Time in office role.
Strong communication skills and the ability to level-set for our clients.
High levels of mediation and customer engagement are a major plus.
Understanding of the housing industry, HOA or Condominium guidelines as needed.
