The Advancement Operations Manager oversees the advancement services infrastructure supporting the institution’s philanthropy and donor engagement activities. This role ensures that advancement systems, processes, and data analytics are optimized to drive efficiency, compliance, and strategic decision-making. As a critical partner to advancement leadership, the Advancement Operations Manager is instrumental in ensuring operational excellence and alignment with institutional goals.

Job Responsibilities Include:
- Help support the management, maintenance, and integrity of the institution’s donor and alumni database (Raiser’s Edge) and ensure accurate and timely entry, updating, and reporting of constituent records through regular audits and data hygiene protocols.
- Oversee reconciliation with finance and monitor associated phones and emails for Advancement Services.
- Maintain up-to-date documentation for systems, policies, and procedures and ensure compliance with institutional, state, and federal regulations, including IRS rules and CASE guidelines, for gift recording and acknowledgment.
- Act as a strategic partner to development officers, alumni relations staff, and institutional leadership to support advancement goals. Also, provide guidance and mentorship to advancement services staff, fostering professional growth.
- Track and improve processes for documenting and invoicing gifts, including drafting gift agreements/amendments, gathering necessary supplemental materials, and ensuring all necessary signatures are captured timely.
- Additional duties as assigned by supervisor and VP of Philanthropy.
Requirements Include:
- Bachelor's degree (or equivalent knowledge obtained through a combination of education, training and experience)
- Minimum 2–5 years of experience required in area of expertise
- Strong Customer Service Skills
- Experienced in Microsoft Office Suite
- Familiarity with workday & financial reporting
- Team oriented and personable
