What are the responsibilities and job description for the Loaner Fleet Coordinator - Flow BMW of Winston Salem position at Flow Automotive Companies?
Flow BMW of Winston Salem is seeking a Loaner Fleet Coordinator. The Loaner Coordinator will work as a member of the Service team in order to reach the goals established by and in concert with the store leadership and manufacturer. He or she will maintain ethical standards, work habits, and customer satisfaction standards.
Daily responsibilities will include but will not be limited to:
- Wearing proper professional attire as stated by the manager
- Using excellent written and verbal communication skills, including the ability to learn, retain and improve on the loaner process
- Maintaining excellent attendance and timeliness in arrival to work and completion of assigned projects and duties
- Maintaining a polite, professional tone with internal and external customers as well as staff and colleagues at all times
- Answering incoming calls within three rings and with courteous phone etiquette Listen attentively to the needs of incoming calls and transfer determined by the scripts and policies
- Greeting and welcoming guests in a professional and courteous manner
- Keeping your work area clean and presentable at all times
- Ensuring Loaner vehicles are used for the express purpose of providing customers with alternative transportation when necessary
- Maintaining and updating loaner tracking software for every agreement
- Tracking and improving loaner vehicle efficiency and vehicle utilization to provide optimal loaner fleet availability with minimal fleet size
He or she will be expected to:
- Regularly communicate with service advisors to ensure vehicles are returned quickly
- Manage support personnel
- Ensure all legal documentation compliance (Vehicle registrations, tag renewal, client insurance documentation, contract & damage reports)
- Review TSD reports and implement action plans for concerns (i.e. high length of loan, mileage, low utilization
- Ensure a mobile/premium experience is provided to the client
- Develop and train support staff with proper process that ensure a consistent client experience
- Mediate and resolve issues between the client and the dealership
- Effectively communicate with the CRC, advisors and management of the daily loaner count and throughput.
- Notify management of any shortages in daily fleet count and identify process improvements necessary to resolve the matter
- Ensure a proper walk around is performed on every vehicle (in and out of fleet) is being performed
- Determine what/when loaners need added/removed from the fleet with sales management
