Flow Automotive is seeking a full-time Real Estate Administrative Assistant, a multi-skilled position that will provide exposure to corporate operations of a large, private company. The position will require 40 hours/week of active participation in support of the real estate area. It will include exposure to other large privately held companies, automotive manufacturers, suppliers, dealers, vendors, and their teams.
Responsibilities will include, but not be limited to:
- Scheduling
- Work with Director of Real Estate (DRE) to support all aspects of their daily routine.
- Maintain calendars, including scheduling meetings and appointments as directed.
- Arrange and plan work related meals and preparation.
- Schedule internal team meetings; assist in the preparation and distribution of meeting agendas and materials.
- Professional Communication
- Maintain confidential and sensitive information.
- Keep DRE advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Determine priority of matters of attention for the DRE; redirect matters to others to handle, or handle matters personally, as appropriate.
- Organization/Administration
- Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
- Organize DRE’s files as directed.
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
- Prepare, reconcile, and submit expense reports.
- Maintain paper and electronic filing systems.
- Attend various Zoom calls and voice calls to take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
- Maintain ethical standards, work habits, and Customer Satisfaction standards supporting all aspects of our Covenant with Our Customers and Flow Pledge.
- Foster a customer-centered service philosophy and team approach among all employees
Requirements:
- Proficient in Microsoft Office Suite with particular emphasis on Excel
- Must possess effective verbal and written communication skills.
- Effective organization and time management skills with the ability to work under pressure and adhere to project deadlines.
- Available to work a schedule that will average 40 hours per week and will fall within the hours of 9AM to 6PM, primarily Monday through Friday.
- Some travel may be required.
