Job Description
The Purchasing Assistant is responsible for sourcing products from approved suppliers, issuing Requests for Quotation (RFQs), and processing purchase orders based on purchase requests from the production and sales teams. Additionally, the role involves providing relevant information to these teams and generating key reports to support both their operations and management. Your responsibilities include, but are not limited to:
- Assists with sourcing materials and components by sending RFQs and responding to purchase requests
- Places orders, follows up on orders, and communicates with vendors regarding quote and order status
- Searches for alternative suppliers to reduce the cost of repetitive purchases and/or high-priced purchases
- Updates and maintains part backlog report, communicating updates with teams
- Updates and maintains part outage report (Hot Part List) communicating updates with teams
- Reports on the materials and production status and any production issues to management
- Assists with purchase order and invoice accuracy tasks related to pricing and quantity matching as needed
- Tracking shipments as needed from both overseas and local suppliers
- Organizes and conducts analysis of costing/spend data as needed
- Reviews and scores suppliers as needed
- Participates as a team member in work, meetings, and other functions such as transferring information to others, improving working relationships with co-workers and contributing to team success.
- Complies with all conduct and policies contained in the Employee Handbook.
Education Requirements
- Associate degree in related field is preferred; GED or High School Diploma is required
- Advanced proficiency of all Microsoft Office applications, specifically Excel is required
- Knowledge of hydraulic pump, motor, valve components and supply chain is preferred
- Knowledge of ERP software processes, preferably SAP is preferred
- Knowledge of purchasing, sourcing, sales, and logistics processes and terminology is preferred

- Attention to detail and ability to focus on multiple task assignments to meet organizational goals
- Ability to work well in a dynamic team environment, with all levels of staff
- Excellent time management and organizational skills with a proven ability to meet deadlines
- Strong math, problem-solving, and analytical skills
Physical Demands
- Regularly required to sit, type, and read.
- Prolonged periods sitting at a desk and working on a computer.
- The employee must occasionally lift and/or move up to 10 pounds.
- Must be able to pass criminal background checks, pre-placement health appraisals, and drug screening.
- Work environment regularly exposes employees to a light noise level.
- Employees may be required to enter the Company's shop area and visit customer sites where the noise level may be moderate to high.
