Job Overview:

We are seeking a detail-oriented and organized Administrative Specialist to join our team. The ideal candidate will be responsible for ensuring smooth office operations through data entry, communication, scheduling, and administrative support. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Data Entry & Records Management

  • Enter and update data accurately for print production purposes.
  • Maintain organized and up-to-date records, ensuring accuracy and confidentiality.
  • File documents in accordance with company procedures.

Proofreading & Quality Control

  • Review documents for accuracy, grammar, and consistency.
  • Ensure all documents meet company standards before distribution.

Communication & Customer Support

  • Answer phones and respond to emails professionally and efficiently.
  • Make calls to customers, employees, and external partners as needed.
  • Greet and assist clients and visitors, ensuring a welcoming experience.

Scheduling & Office Coordination

  • Schedule appointments and meetings, coordinating conference room preparations.
  • Manage office supplies, ensuring inventory is stocked and placing orders when needed.

Required Skills & Qualifications:

Proficiency with Gmail and Microsoft Office Suite (Excel, Word, PowerPoint).
Strong attention to detail and accuracy in data entry and proofreading.
Excellent written and verbal communication skills.
Strong organizational and time management skills.
Ability to handle multiple tasks in a fast-paced environment.

Job Type: Full-time

Pay: $17.00 - $18.50 per hour

Expected hours: 40 per week
