Foley Hoag seeks an entrepreneurial, detail-oriented professional with extensive knowledge of litigation docketing, a hands-on approach to executing the work, and the ability to thrive in a high-exposure role working closely with department and firm leaders to drive impactful efficiencies that support the continued growth and evolution of the firm's litigation practice. The Managing Clerk ("the Clerk") is responsible for the effective management of Docket and Court Services across all offices including all oversight of litigation deadlines; the filing, serving and retrieval of court documents either physically or electronically and the processing of incoming court documents (both paper and electronic); docketing relevant dates; and running reports . The Clerk provides expertise and guidance to attorneys on the life of a litigation case including docketing, court rules, and legal procedures as they relate to court functions and calendaring for multiple practice areas that do litigation work.
This role is hybrid-eligible and requires onsite presence three days per week in our New York Office.
Responsibilities
- Maintain litigation docket and calendar.
- Ensure compliance and record all incoming and outgoing documents in docket database and accurately calculate and record procedural deadlines and due dates.
- Establish and manage an internal timetable for prompt and accurate completion of work assignments and docketing deadlines.
- Effectively communicate and present relevant information to internal and external stakeholders.
- Respond to procedural inquiries and questions arising in all stages of the litigation, including court research at the direction of attorneys, paralegals and business services colleagues.
- Analyze and stay informed on court procedural rules, determining when updates to processes are required.
- Maintain proficient knowledge of and stay up-to-date on developments, procedures, and rules in forums where the firm practices, including general state and federal practice.
- Ensure quality control procedures and service standards are in place to minimize risk to the firm.
- Create and maintain all docketing related training resources.
- Provide training and ongoing support to Firm personnel as needed.
- Manage electronic filings in assigned courts, ensuring compliance with all applicable filing rules, procedures, and individual practices of judges, while staying current on any updates or changes.
- Manage all case-specific information in responsible jurisdictions.
- Monitor case progress in assigned courts, obtain decisions and orders, obtain docket updates and communicate case status changes to responsible attorneys.
- Act as liaison with court personnel and litigation vendors; establish and maintain good working relations with court personnel and vendors including process servers and couriers.
- Act as liaison with firm IT department for rules-based calendaring, docketing, and case management software.
- Create and maintain system to assist attorneys admitted to NY Bar to ensure they meet renewal deadlines.
- Other duties as assigned.

Compensation range is $150,000 to $165,000 commensurate with related experience and qualification. The salary of the candidate selected for this role will be set based on a variety of factors, including but not limited to internal equity, experience, specialty, and training. The above salary range (or hiring range) represents the firm's reasonable estimate of the range of possible compensation at the time of posting.
