Responsibilities
The Executive Assistant supports to the Director of Administration and provides a wide range of high-level administrative services for the Executive Office.
Examples of Duties, includes but is not limited to the following :
Organizes and maintains Executive Office and ensures the Director of Administration keeps to his / her daily schedule while understanding that priorities.Keeps a list of pending tasks, ideas and projects mentioned by the Director of Administration and reviews with him / her on a regular basis.Manages / coordinates gift certificates distributed from Executive Office.Arranges logistics for visitors, executives and personal requests of VIP guests at the Director of Administration's discretion.Attends events with the Director of Administration as needed.Plans, coordinates and executes events for business and personal dinners, social gatherings, philanthropy, high profile client tours, etc.Conserves Director of Administration 's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.Conducts specialized research pertaining to company for Director of Administration as needed.Fields heavy phone call volume and maintains contact information.Prepares meeting agendas and provides background information to the Director of Administration and assists in adequately preparing for Executive Office meetings.Facilitates communications given by Director of Administration via email and voicemail to management team.Manages Executive Office correspondences; email, phone calls, mail, invitations, , including drafting of correspondence and coordination of mass mailings.Performs general administrative duties such as faxing, copying, typing correspondence, research, etc., on a daily basis.Acts as primary Executive Office gatekeeper and liaison for the Director of Administration.Works on miscellaneous projects as directed by the Director of Administration.Qualifications
High school diploma or equivalency required. Associate's degree or Bachelor's degree in Business Administration or related field preferred.Must have 1-2 years' experience supporting a high-level executive.Availability to work Monday - Friday, form 8 : 30 . to . is a must.Opera experience is highly preferred.Ability to operate basic office equipment (., computer, fax, and multi-line telephone system).Effective supervisory and communication skills.Well-organized and demonstrated strong problem solving skills.Ability to read, write, and understand English.Ability to perform basic math skills.Knowledge of, understanding of, and compliance with policies and procedures, job descriptions, daily memoranda, chemical labels, and other.Need help finding the right job?
