Position Overview:
This role will play a vital role in supporting the daily operations of an organization. This position involves a variety of administrative and clerical tasks designed to ensure that the office runs efficiently. Office Assistants typically work under the supervision of office managers or other administrative staff and contribute to a smooth workflow by handling both front-desk and back-end responsibilities.
Key Responsibilities:
- Customer Order Management: Process and manage customer orders efficiently, ensuring accuracy and timely delivery.
- Customer Service: Act as the primary point of contact for basic customer inquiries, addressing questions, concerns, and feedback promptly and professionally.
- Order Fulfillment Coordination: Collaborate with the warehouse and logistics teams to ensure orders are packed and shipped on schedule.
- Issue Resolution: Handle any order discrepancies or service issues, providing solutions to maintain customer satisfaction.
- Communication support: Answering phone calls, responding to emails, drafting correspondence, and disseminating information internally.
- Walk-in and Will-Call Customer Servicing: Greet and assist walk-in customers, providing a positive first impression. Handle will-call orders, ensuring accurate and efficient processing.
- Administrative Support: Assist with maintaining records, managing invoices, and updating customer accounts as needed.
- Process Improvement: Identify opportunities to streamline order processing and enhance overall customer experience.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree is a plus.
- Previous experience in an office assistant or administrative role preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- Positive attitude, with a willingness to learn and take on new challenges.
