POSITION TITLE: Senior Manager of Operations
RESPONSIBLE TO: Director of Operations
HRS PER WEEK: 40 hours
CLASS: Exempt
COMPENSATION: $66,560 - $76,960 - Depending on experience
BENEFITS: Eligible for health, vision, and dental insurance the first of the month following 30 days of employment with other benefits eligibility after a 90-day mutual introductory period is completed. Eligible for FFLC-sponsored benefits (e.g. paid time off benefits such as holidays, floating days, vacation, and sick).
SUMMARY OF POSITION: The ideal candidate for this position is strongly motivated by FOOD For Lane County’s mission and can apply their knowledge of warehouse logistics and leadership in a non-profit food bank setting. The candidate must be comfortable meeting multiple requests, making quick and sound decisions; prioritizing efficient systems and strategic collaboration; keeping teams regularly informed; and bringing a positive can-do attitude to daily work challenges. The Senior Manager of Operations supports and maintains a culture of respect and an atmosphere of teamwork to foster a positive working environment.
The main responsibilities of this position include providing senior leadership and management to FFLC’s warehouses, drivers, and routes in coordination with the Food Resource Developer, Partner Agency Services, and Warehouse Managers; overseeing FFLC’s Bailey Hill warehouse daily operations; ensuring maintenance, safety, and functionality for all FFLC facilities, grounds, vehicles and equipment; ensuring compliance with safety regulations; coordinating vendor contracts; maintaining a clean, efficient, and operational workspace; developing maintenance schedules; tracking budgets; and supporting initiatives related to facility operations.
This position acts as the primary contact for emergency and security needs, during on-call hours between 5 p.m. and 6 a.m.
PRIMARY TASKS & RESPONSIBILITIES:

- Demonstrate leadership and lead by example
- Support hiring, training, and development for Drivers and Warehouse Assistants
- Foster a culture of safety, efficiency, and collaboration within the team
- Conduct regular performance evaluations and provide coaching and professional development opportunities
- Approve design and revisions of driver routes and schedules as needed
- Ensure regular maintenance and cleaning of company vehicles
- Develop, deliver, and evaluate consistent training for staff including vehicle operation/maintenance, defensive driving, vehicle safety, customer service and food handler’s protocols
- Ensure all drivers and logistics operations are compliant with safety regulations and FFLC practices and procedures
- Oversee the maintenance, safety, and efficiency of all FFLC facilities, vehicles and equipment ensuring all FFLC capital assets are well-maintained and compliant with safety standards
- Manage capital projects, including planning, budgeting, and coordination with contractors and vendors
- Develop and implement maintenance schedules for equipment, vehicles, and facilities
- Perform and coordinate facility repairs and upgrades, ensuring minimal disruption to operations
- Ensure security and oversee FFLC’s access control systems
- Ensure emergency preparedness planning
- Forecast budgets for maintenance, repair, and supplies
- Manage service contracts in accordance with FFLC performance expectations and competitive pricing in the market
- Primary on-call responsibilities for emergencies
- Coordinate with managers across FFLC sites to maintain a sanitary, pest-free environment and ensures equipment is in proper working condition
- In collaboration with the Director of Operations, identify and purchase new vehicles and equipment
- Ensure compliance with OFB, SAIF, OSHA, USDA and other safety regulations and guidelines
- Conduct regular safety audits and inspections to identify and mitigate potential risks
- Develop and implement training programs for staff and volunteers
- Maintain accurate records for safety compliance, including incident reports, inspections, and training documentation
- Oversee and manages the Safety Committee
- Manage the facilities budget, including maintenance, capital projects, and fleet expenses
- Track expenses and provide regular reports to the Director of Operations
- Support appropriate staff to write and submit grants, and assist with documenting and reporting relevant grant outcomes
OTHER TASKS & RESPONSIBILITIES:
- Attend the following regularly scheduled meetings: Bi-Monthly All Staff meetings; Operations Team meetings; Supervisor meetings; Safety Committee Meetings
- Represent FOOD for Lane County to the public with knowledge and respect
- Attend all required meetings
- Other duties as assigned
SKILLS & QUALIFICATIONS:
- Education and/or training relevant to the position
- Minimum of 5 years of experience or training relevant to the position including facilities maintenance and repair, fleet management and regulatory compliance
- Minimum 2 years' experience supervising staff, organizing and delegating work, and providing leadership
- Food banking, nonprofit or food industry experience preferred
- Ability to solve problems, manage multiple priorities, and move complex projects forward while paying attention to details and deliverables
- Ability to establish and maintain effective working relationships with diverse people
- Excellent verbal and written communication skills
- Excellent research and analysis skills
- Ability to understand and monitor contractual documents
- Proficiency using Microsoft Windows Office Suite and 365
- Experience working with databases
- Ability to work in an open office environment with noise and interruptions
- Safe driving record, valid Oregon driver’s license, current vehicle insurance and ability to use personal vehicle for FFLC business, and qualify for insurance coverage with FOOD for Lane County’s carrier

WORKING CONDITIONS:
- A considerable amount of work is done outdoors in all-weather with some exposure to exhaust from vehicles, dust, and dirt
- This position performs essential physical labor which could include frequent walking, frequent standing for long periods of time, frequent bending, regular pushing, occasional stooping, regular lifting (up to 50 lbs.), and regular stretching
