THE POSITION:
We are seeking an experienced Events Coordinator to bring people together for unforgettable experiences. We are a community-oriented retail garden center where families, friends, and neighbors gather to learn, celebrate, and make memories. We host everything from gardening classes and lively music nights to festive seasonal markets and intimate private events. Joy is at the heart of what we do, and we need an enthusiastic person to make each event truly special.
This is a part-time year-round position, with work weeks averaging 4 days and 30 hours; specific days and hours are flexible and will be set upon hire. Some schedule fluctuation through different seasons is expected. Some evenings and weekends are required. This is a hybrid role: some on-site work is required while some work can be accomplished remotely.
This role pays $24/hour, with additional bookings incentives and weekly pay. We offer employee discounts at the Garden Center, work-life balance, and advancement opportunities as we continue to grow.
RESPONSIBILITIES:
- Plan and coordinate weeknight and weekend classes - organize a variety of in-house and guest-led classes, schedule instructors, and ensure each session runs smoothly and is tons of fun
- Host Friday night music events in spring and fall - book local musicians, coordinate wine and beer selection, and invite food trucks (It’s like throwing a mini festival every time!)
- Organize festivals and markets in spring, fall, and Christmas - orchestrate seasonal one-day festivals and our much-anticipated Christmas Market, invite local vendors, plan activities, and coordinate space set up
- Handle all the logistics - take charge of all the behind-the-scenes details that make events great: manage ticket sales and online attendee registration, organize vendor participation, schedule food trucks and entertainment well in advance, and help with traffic flow and parking coordination during the event
- Partner with our Marketing & Social Media Coordinator to advertise events and draw in the whole community
- Lead event setup and breakdown - transform the Garden Center into a class space or festival ground: arrange tables, décor, and signage – then facilitate teardown afterward
- Serve as on-site ambassador - be the friendly face of our events: greet guests, troubleshoot hiccups, keep everything running smoothly, and make sure attendees and vendors feel taken care of to leave a lasting impression
NEW! Historic chapel event space rentals
- Venue promotion and bookings - help launch our newly restored O’Kelly Chapel as a sought-after venue for small weddings and concerts, business gatherings, and intimate celebrations
- Respond to inquiries with enthusiasm, provide information and answer questions, and assist with creative promotional efforts to showcase the chapel’s unique charm
- Conduct walkthrough showings - take potential clients on tours of the rental space, highlighting the chapel’s history and features to help clients envision their special day in this enchanting space
- Manage rentals and logistics - coordinate the rental schedule, execute and organize rental agreements, and ensure space is clean and ready to use for the big day (Note: You will NOT be organizing the specifics of these events – you won’t be a full wedding planner – only managing the use of the space itself. Event setup and tear down, supplies and decoration, food/music/vendors, cleanup, etc. will be the renters’ responsibility.)
REQUIREMENTS:
- Ultra organized and detail oriented - stay on top of all the communications, documentation and records, and contracts in a neat, orderly fashion
- People-person mentality - outgoing, friendly, and absolutely love working with people and making clients feel welcome
- Great multitasker - can handle multiple events, dates, and details at once and keep your head on straight
- Energetic and resilient mindset - positive attitude, grace under pressure, and energy and enthusiasm to push through long days and/or multiple events in a week
- Creativity! Think outside the box to craft enchanting experiences and brainstorm new ideas to help make each event unique and engaging
- Strong communication and listening skills - communicate with your team, customers, guests, and vendors via phone, email, and in-person and be attentive to clients’ wants and needs
