We are seeking an organized and detail-oriented operations coordinator to support multiple critical functions across our advisor experience team. This role will be instrumental in ensuring our advisor training, onboarding, and community initiatives run smoothly and effectively. The ideal candidate is highly organized, possesses exceptional attention to detail, and excels at juggling multiple priorities while maintaining strong communication across teams. Reporting to the Head of Operations (Advisor Experience), this role will help cultivate a seamless experience for both new and established advisors through coordinated training, onboarding management, and community support.

Key Responsibilities
Calendar & Schedule Management
- Maintain and optimize our advisor training calendar, ensuring all sessions have confirmed facilitators and updated materials
- Adjust timing and cadence for holidays and special events, preventing scheduling conflicts
- Collaborate with editorial and travel operations teams to develop quarterly destination training schedules
- Coordinate new advisor orientation (“Cohort”) sessions and facilitator schedules
- Identify and resolve coverage gaps or last-minute facilitator changes
- Ensure facilitators and Cohort Leaders have all materials needed prior to their session or Cohort start date
- Coordinate with industry partners for webinar facilitation, ensuring they are prepared for their webinar and are able to successfully join the webinar Zoom on time
- Craft and distribute weekly training announcement emails to the advisor community
- Work with the Advisor Community team to send chapter member invitations and updated rosters to chapter leaders monthly
- Liaise between teams to ensure smooth information flow across training, onboarding, and community functions
- Coordinate our video editing workflow, tracking post-production deadlines and ensure timely delivery
- Upload finalized training content to the advisor portal
- Ensure consistent quality and branding across all advisor-facing content
- Bachelor's degree required, or equivalent professional experience
- 1 years of professional experience, preferably in a coordinator or assistant role
- Exceptional organizational skills with meticulous attention to detail
- Strong written and verbal communication abilities
- Proficiency with Google Workspace and ability to quickly learn new software tools
- Self-motivated with the ability to manage multiple deadlines and priorities simultaneously
- Problem-solving mindset with proactive approach to identifying and resolving issues
- Develop transferable skills across operations, communication, and project management
