HR Project Assistant (Youth Programs)

Chicago, IL (hybrid)

4 month contract

Qualifications :

  • High school diploma with relevant experience, or current enrollment in or completion of a two (2) year collegiate program with coursework studies in business, social studies and / or project management.
  • 1 - 3 years of administrative or program support experience, preferably implementing local, state or federal compliance programs around youth protection, safety accident prevention, and other insurance related risk management loss prevention programs for higher education institutions and / or municipalities.
  • Proficiency in Microsoft Word, Excel, and PowerPoint
  • Prior experience with HRIS including but not limited to processing background checks and verifying employee work history.
  • Strong written and oral communication skills.
  • Attentive to details.
  • Demonstrated ability to work collaboratively with diverse stakeholders.
  • Ability to manage multiple priorities and deadlines.
  • Adaptability and problem-solving skills
  • Maintain absolute discretion regarding confidential matters
  • Ability to handle sensitive matters with tact and discretion.

Summary :

The Project Assistant will support risk management initiatives by assisting with compliance efforts, administrative and logistical support, maintaining records, and serving as a resource for risk management staff and stakeholders. This position will provide essential administrative support to ensure effective risk management processes and policy adherence.

Responsibilities :

  • Assist in monitoring federal, state, and local laws that impact higher education institutions compliance.
  • Assist in entering information for background checks for the Youth Protection Program
  • Provide general administrative support, including document preparation data entry, and correspondence.
  • Provide administrative support for training initiatives, including materials preparation, and participant tracking.
  • Assist with tracking and maintaining risk management-related records and reports
  • Support communication efforts by preparing and disseminating informational materials.
  • Maintain records related to compliance requirements, training completions, and incident reports.
  • Provide logistical support for meetings, events, and training sessions.
  • Assist with periodic policy compliance assessments and reporting.
  • Assist in invoicing payables
  • Other duties and tasks as assigned.
