What you will be doing:
In this role, you'll dive into an exciting journey as a Marketing Administrative Assistant, working closely with our Ford Marketing Team. Your duties will encompass event planning, vendor coordination, crafting meeting agendas using MS Teams, generating lead tracking reports, and providing support in various marketing initiatives.
As a Marketing Administrative Assistant with a knack for connecting with people, you'll take pride in planning engaging events, Showcase gatherings, and webinars, all designed to resonate with our audience. Tracking and monitoring usage of co-op/MDF dollars and joint vendor marketing programs. Develops, implements, and evaluates joint marketing programs. Your influence will extend to email campaigns, website development, and publications. Your creative touch will also help enhance our print materials, webinars, and social media.
Event Planning and Vendor Coordination:
- Utilize your people skills to lead and execute comprehensive event planning strategies for trade shows, Showcase events, and webinars, ensuring a warm and inviting atmosphere for all attendees.
- Leverage your customer service skills to coordinate with vendors, negotiate contracts, and cultivate strong relationships for optimal partnerships and successful collaboration.
- Manage logistics with a personal touch, from venue selection to booth design, ensuring a welcoming and cohesive presence at events.
- Collaborate effectively with internal teams and external partners, creating a positive and inclusive environment that aligns with marketing objectives.
- Creating registration pages, booking event spaces, and providing updates to stakeholders.
- Bring your friendly approach to helping others without compromising the quality of the attendee experience.
- Serve as the main point of contact for vendors, fostering smooth communication, timely deliverables, and a shared commitment to quality standards.
- Evaluate and help select vendors with a people-centric mindset, building a network of reliable partners to enhance our overall marketing strategies.

What we're looking for:
- Experience in trade show planning, content coordination, and seminar topic selection.
- An associate degree in marketing or a related field, or substantial relevant work experience is required.
- Proven AV and/or Technology Industry experience is a plus.
- 1 years of experience in corporate marketing initiatives
- Exceptional written and verbal communication skills to facilitate presentations, write communication materials, and negotiate with vendors and sales representatives.
- Demonstrated ability to effectively handle several projects simultaneously
- Deadline-oriented with exceptional attention to detail.
- Excellent planning, organizational, multi-tasking, and problem-solving skills
- Proficiency in event planning and vendor coordination
- Ability to work seamlessly with MS Teams, Outlook and Excel
- Strong organizational abilities for managing multiple projects concurrently.
- Experience in coordinating webinars, from vendor selection to presentation oversight.
- Proficiency in creating engaging PowerPoint presentations for meetings and updates.
- Initiative and participation in marketing efforts.
- Must be able to work well under pressure
- Ability to travel to company offices and other locations as needed.

Physical Requirements: The employee should be prepared for a dynamic work environment that may involve extended periods of sitting while operating office equipment, as well as occasional standing, walking, reaching, and lifting objects weighing up to 20 pounds. The employee should possess adequate manual dexterity, eyesight, and proficiency in using standard office tools such as computers, printers, and telephones for tasks involving reading, writing, interpreting, and managing paperwork. Effective communication skills and the ability to adapt to changing work settings are essential. This role may also involve occasional travel, including overnight stays, requiring flexibility in working hours and commitments. Safety protocols must be followed at all times to ensure a secure work environment.
