Position Overview:
Ford Hotel Supply is seeking a highly organized and detail-oriented Assistant Project Manager to join our Engineering Department. The ideal candidate will be responsible for supporting project management activities, including following up on purchase orders, adding items to existing orders, managing communication with manufacturers, and coordinating warranty claims. This is a critical role in ensuring the smooth execution of engineering-related projects and supply chain operations.
Key Responsibilities:
Follow up on purchase orders to ensure timely processing and delivery of items.
Add new items to purchase orders as necessary.
Communicate with manufacturers to track the status of orders and resolve any issues.
Assist with warranty claims and follow up with suppliers to ensure proper resolution.
Maintain accurate records and documentation for all orders and project-related materials.
Provide general office support within the Engineering Department as needed.
Ensure that all tasks are completed in a timely manner, meeting deadlines and maintaining quality standards.
Perform other duties as assigned to support the department’s operations.
Key Qualifications:
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and priorities simultaneously.
Excellent communication skills, both verbal and written.
Proficient in office software (Microsoft Office Suite, Google Workspace, etc.).
Ability to work independently and as part of a team.
Experience with purchase orders and vendor management is a plus.
A proactive, solution-oriented approach to problem-solving.
Ability to handle warranty issues and coordinate with manufacturers.
Key Skill: Knowledge of project management software (e.g., Asana, Trello, or similar platforms) to track project timelines, tasks, and progress.
Education and Experience:
High school diploma or equivalent required.
Previous experience in project management or administrative roles is a plus.
Experience in a similar industry (engineering, construction, manufacturing, etc.) is a plus.
Physical Requirements:
Ability to sit or stand for extended periods of time.
Ability to lift up to 20 pounds as needed.
