The Forest Preserve Foundation is seeking an entry-level Administrative Coordinator to provide essential support for its fundraising, administrative, and operational activities. This role advances the Foundation’s mission to protect and restore the treasured natural habitats of the Forest Preserves of Cook County and enhance outdoor experiences for all communities. Founded in 2006, the Forest Preserve Foundation is dedicated to raising funds and in-kind resources for innovative initiatives that make the Forest Preserves of Cook County inviting, accessible, and enjoyable for all.
The ideal candidate will thrive in a small office environment, demonstrate exceptional interpersonal and written communication skills, and possess strong organizational and detail-oriented capabilities. Familiarity with grant management and various fundraising strategies is highly desirable. The role requires someone who is proactive, able to work independently, and collaborate effectively as part of a team.
KEY RESPONSIBILITIES:
Development Support
- Conduct research on potential donors, organizations, foundations, and corporations to identify new funding opportunities.
- Assist in drafting and submitting grant proposals, applications, and reports to funders.
- Prepare acknowledgment letters and other correspondence to donors, ensuring timely and professional communication.
- Support fundraising efforts by helping to create reports, presentations, and donor materials.
Operations & Administrative Support
- Maintain the accuracy and integrity of CRM databases, updating donor and gift information regularly.
- Process and track donations, generating monthly gifts and financial reports for leadership.
- Organize schedules and logistics for funder and board meetings, including preparing agendas and materials.
- Provide support for the production of annual reports, newsletters, and other organizational materials.
Event Coordination
- Assist in the planning and execution of fundraising events, including logistics coordination and on-site support.
- Communicate with vendors, sponsors, and attendees to ensure event success.
General Support
- Travel locally to various worksites, event venues, and meetings as needed.
- Serve as a reliable team player, assisting with ad hoc tasks and projects to ensure smooth Foundation operations.
Qualifications:
Bachelor's degree in a related field, such as communications, marketing, English, etc.
1–2 years of experience in an administrative or development-related role, preferably in a nonprofit setting.
Strong organizational skills with excellent attention to detail.
Effective written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM systems (e.g., NEON or similar). Experience working with WordPress, Adobe, Canva, is highly desired.
Ability to manage multiple tasks and priorities in a fast-paced environment.
A team-oriented attitude with a willingness to learn and adapt.

Experience in the conservation, environment, or parks and recreation industry is a plus but not required.
