Job Summary
The Development Administrative Assistant is an integral member of Forestdale's Development & Community Engagement team. Their role is to oversee administrative processes to help manage the Unit's primary activities. This includes conducting research, coordinating development events and programs, and assisting the Director of Development and the Senior Community Engagement Officer with scheduling. A key aspect of their role is their highly detail-oriented work, which ensures the delivery of impeccable donor services.
The Development Administrative Assistant, who reports to the Director of Development, plays a significant role in communicating with donors and prospects. They maintain the individual donor and grant databases, ensuring that all information is up to date. Their work with the development staff to keep updated information on all development platforms is crucial. They also provide administrative support for all major events and utilize departmental computer software.
Primary Responsibilities
- Serves as a liaison between donors, prospects, committee members, etc.
- Maintains files and information relating to events / programs.
- Assists in organizing volunteers and staffing for special events.
- Drafts, proofreads, edits, and sends various types of correspondence, including but not limited to thank-you letters, grant proposals, and donor updates, grant agreements, addendums, donor letters, and gift proposals as required.
- Performs general duties : making direct calls, taking messages, and scheduling meetings, calendar and contacts, maintenance, meeting preparation, and follow-up.
- Prepares profiles for potential new prospects. Research potential prospects and add information to the constituent database, e.g., meeting notes.
- Assists with PowerPoint presentations.
- Achieves proficiency in Network for Good, Constant Contact, Granthub, and Canva for development functions. Regularly manages updates to the constituent databases and constant contact mailing lists to ensure all contacts are appropriately moved through the development process.
- Manages gift acknowledgment process and produces donor letters weekly.
- Work closely with the Finance department on incoming gift processes, recording donations, and ensuring accurate financial reporting. Processes check requests for department expenses.
- Assist with special events planning, preparation, execution, and processing of online RSVPs, including coordinating with vendors, managing event logistics, and ensuring a smooth guest experience.
- Creates auction flyers and assists in the distribution of auction wins.
- Compiles and creates folders and marketing materials for Development prospect meetings. Coordinates, attends, and drafts minutes and documents for Development and Grant meetings.
- Meets and greets visitors for department meetings.
- Maintains and organizes brochure and flyer inventory.
Minimum Requirements
S alary Range : 55,000 - $65,000
