We have an exciting opportunity to lead a financial advisory office as the Office Manager, Finance & Operations. In this role, you will be responsible for managing the entire accounting & financial operations of the firm in addition to operations and HR. This is an onsite role in Greenville, SC.
Essential Duties & Functions
- Perform for all accounting needs for multiple entities including financial statements and reporting, forecasting, daily cash management and payroll
- Create detailed Excel reporting to support monthly financial results and specific performance metrics
- Demonstrate continuous process improvement within all areas of accounting while ensuring that required internal control systems are set/remain in place
- Manage expenses, bill pay and budgeting for the firm
- Perform monthly and quarterly client billing
- Analyzes and reconcile client billing and incoming commissions
- Take initiative with cost-saving opportunities
- Monitor, maintain and communicate with firm’s IT provider
- Manage software contracts and communication with software vendors
- Responsible for facilities management
- Manage vendors including building and lawn maintenance, copier/scanner, alarm systems, etc.
- Perform the renewal of all active business licenses for both the facility and its occupants
- Monitor individual and agency licensing requirements including renewal processes
- Responsible for keeping firm manuals up to date
- Manage and maintain personal time off (PTO) records for employees
- Responsible for all confidential employee files as well as the firm’s onboarding and termination documents
- Point person to address employee concerns or address improvement areas confidentially
- Point person for recruiting when hiring to include preparing job descriptions, screening, scheduling interviews and participation in the selection of the new hire
Qualifications
- Bachelor’s degree in accounting, finance or business; or relevant experience
- Minimum 8-10 years of accounting/finance experience in a professional services setting
- Experience conducting month-end and year-end close processes, cost allocation, revenue recognition, budget creation and management, and cash and expense management.
- Experience in QuickBooks or similar small business accounting software; ability to learn quickly and pivot when necessary
- Desire to wear many hats and be a team-player
