Charleston Oral and Facial Surgery is growing and looking for a full-time Office Manager for our Hilton Head Island location. Our practice has eight providers and one TMJ / Oral Medicine Specialist, eight convenient locations, and a staff of over 70 employees to ensure our patients have the best possible experience. We offer a full scope of oral and maxillofacial surgery options such as wisdom tooth extractions, dental implants, orthognathic surgery, bone grafting, TMJ treatment, and much more.

Job Summary :
Responsible for coordinating daily office operations, and giving direction and feedback to the administrative staff. Responsible for carrying out new policy and procedure updates from the executive board. Delivers top-notch patient care to all patients by using proper etiquette and upholding practice procedures and policies. Scheduling and the inputting of patient demographic information will be conducted timely and efficiently to ensure top patient satisfaction and overall practice profitability. Build relationships with patients as well as referring offices to ensure long-lasting and positive impressions. The Office Manager plays a vital role in ensuring their office runs smoothly and works hand in hand with the Operations Specialist to ensure all directives are carried out as intended.

Essential Job Functions / Duties
Ensures all office staff follow opening and closing procedures according to office guidelinesConducts daily morning huddle meetings to keep all staff members up to date on patient / surgery information for that dayLeads office staff by delivering communication on changes in procedures or policies. Ensures all office staff understands and complies with policy and procedure changes / updates.Offers advice and feedback to the executive board regarding department guidelines, processes, patient care, and employee performance.Responsible for ensuring patient satisfaction and handling patient / employee issues with the guidance of the executive board.Drafts and / or works up treatment plans and discusses, in detail, with patients.Has a full understanding and knowledge of scheduling manualHas a full understanding and knowledge of all functionalities within CarestackEnsures all error reports are corrected and responded to by the end of the business day.Ability to handle pre-authorizations for patients, and follow up with patients promptlyHas a full understanding and knowledge of available financing optionsAdheres to practice guidelines and procedures regarding fees and paymentsKeeps up to date on general knowledge of procedures and appointmentsMaintains full compliance with HIPAA and OSHA guidelinesOrders all office supplies monthly while staying within the office supply budget, with guidance and approval from the Administrative Director.Schedules new and established patient appointmentsAbility to verify insurance eligibility and benefits (when needed)Assists in answering phones and fielding direction of calls, when needed. Utilizes appropriate telephonic etiquette when speaking to both patients and referralsUtilizes appropriate email etiquette, both, internally and externallyEnsures all required paperwork is in order 5 business days in advance of scheduled appointmentsAttend relevant training and / or certification classesHelps to ensure the cleanliness of the practice, according to company guidelinesRotate around to other locations as needed by managementCompletes all other duties as assigned by managementRequired Qualifications :
High School diploma or graduation equivalency degree (GED) and a certificateAt least 2 years of relative experience management experience in the dental and / or medical fieldExcellent communication skills in person, in writing and via telephonic conversationMust understand the key components of appropriate patient-oriented customer serviceQuick to take on new information and relay that information to other staff membersSelf-starter who requires minimal supervisionAbility to work closely with the Operations SpecialistAbility to utilize office softwareMicrosoft skills including Excel, Word, Outlook, and PowerPointJob Type : Full-time
