About the Role :

A day in the life : We are seeking a detail-oriented and analytical Accounting Clerk who is eager to apply their skills and grow within our company. This role is designed not just as a job but as a stepping stone toward an accounting career. From day one, we will work with you to assess your strengths and interests, shaping your responsibilities based on your skills while providing opportunities for continuous learning and growth. The Accounting Clerk will oversee key financial processes, including accounts payable, accounts receivable, payroll, and fixed assets across all company divisions. Our goal is to develop this position into a full-fledged accounting role for the right candidate. Success in this position requires precision, adaptability, and a commitment to learning, ensuring smooth financial operations and accurate reporting while advancing your professional development.

On a given day, as an Accounting Clerk, you will :

Accounts Receivable :

  • Prepare and send invoices / payment apps to customers daily or as necessary (dependent on completion activity).
  • Respond to customer inquiries immediately following the arrival of the request.
  • Monitor / identify receivables aging (bimonthly) for invoices beyond terms and advise the controller.

Accounts Payable :

  • Process approved supplier invoices for payment daily or as schedule allows.
  • Reconcile processed supplier invoices to supplier statements monthly.
  • Coordinate / manage resolution of invoice discrepancies with Purchasing, i.e., price / quantity conflicts, as necessary.
  • Respond to supplier payment inquiries immediately following the arrival of the request.
  • Payroll Responsibilities :

  • Process payroll weekly; enter worked hours from the timecard report, benefit time, rate adjustments, and other compensation-related events into ADP (payroll processor).
  • Import time card reports weekly into the general ledger and update timecards and profiles for benefit time, rate adjustments, and other comp.-related events.
  • Reconcile ADP reports to the general ledger weekly.
  • Post payroll expenses to the general ledger weekly.
  • Fixed Assets Management :

  • Record asset additions and disposals into fixed asset software quarterly.
  • Reconcile fixed asset software reports to the general ledger quarterly.
  • Credit Card Receipt Management :

    Maintain a log of receipts submitted to the email account weekly or as schedule allows.

  • Map the transactions to the general ledger based on the nature of the purchase and / or reference the timecard report for the respective project / job weekly or as schedule allows.
  • Match the log of submitted receipts to the card processor statement monthly.
  • Publish the missing receipts schedule monthly.
  • Post expenses and transactions to the general ledger monthly.
  • Provide missing receipt analysis indicating compliance by member / cardholder monthly.
  • Reporting :

  • Complete financial reports monthly or as necessary to provide insight into financial performance
  • Assist with ad-hoc reports and projects to support financial analysis and decision-making as necessary.
  • Other :

  • Preparation of schedules and reconciliations as necessitated by third-party reviews and inquiries, as necessary.
  • Adhere to company work safety policies.
  • Other miscellaneous duties, as assigned.
  • Schedule & Travel :

    This is a full-time Monday through Friday position with day shift hours. This department provides a flexible schedule.

    The qualified candidate we seek is an Accounting Clerk with these QUALIFICATIONS :

  • 1–3 years of experience in a similar accounting role, ideally within the construction or similar industry.
  • Experience or knowledge of accounts payable, accounts receivable, and payroll processes. With a basic knowledge of debit and credits.
  • Proficient in accounting software,  Microsoft Office Suite, and Google Workspace apps, including Excel and Sheets.
  • Exceptional attention to detail, accuracy, and time management. With the ability to balance multiple approaching deadlines.
  • Strong communication clearly through written communication with all levels of the business.
  • Strong problem-solving skills.
  • Additional Qualifications :

  • Associate's degree or higher in Accounting or a similar field.
  • Experience with the lifecycle of purchase orders.
  • Experience with cost accounting.
